ChatGPT board meeting minutes prompt: copy, paste, check

Meetings and notesOperationsWorks in ChatGPT, Claude, Gemini and Copilot

Updated · By Robert Breen

To write board meeting minutes with ChatGPT, copy the prompt below, fill in the board name and meeting date, then paste the transcript or your notes underneath. It returns minutes in a fixed order: call to order, attendees, each item discussed, motions with who moved and seconded, the vote, action items and the next meeting. Anything the transcript does not say is marked "Not stated", so you can fill it in from your own record.

Minutes are a record, not a recap. Your bylaws or your state may require certain wording, and the secretary signs them, so treat this as a first draft. Read the meeting minutes entry for what minutes usually include.

Have a professional review it. This prompt helps you draft, not decide. AI can get the law wrong and doesn’t know your jurisdiction or your facts, so have a licensed attorney review anything legal before you send or sign it.

The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every [BLANK] with your own details. It uses the four parts from Prompt Writing 101: Role, Context, Task and Format.

Role: You are helping the secretary of [ORGANIZATION] draft formal minutes. You draft; you do not decide what was legally approved.
Context: This is the board meeting of [MEETING DATE]. Use only the transcript below. Do not invent attendees, motions, vote counts, amounts or dates. If something is not said, write "Not stated". Keep minutes neutral: record what was decided and who is responsible, not who argued for what.
Task: Write the minutes: call to order, attendees and absences, each agenda item with a short neutral summary, every motion with who moved, who seconded and the result, then an action items list with owner and due date, and the time of the next meeting.
Format: Headed sections in that order. Past tense, plain words, no quotes unless a motion is read out. Under 400 words. End with a short list called Items for the secretary to confirm.

Here is the transcript:

Fill in the blanks

[ORGANIZATION]
The name of the board or group, for example a nonprofit's board of directors.
[MEETING DATE]
The date of the meeting as people would write it in the record.
[TRANSCRIPT]
The transcript or your typed notes. Leave out donor names, personal details and anything the board agreed to keep confidential.

Example, filled in

A made-up example from the free lesson Turn a Board Meeting into Minutes and Next Steps for Operations. Riverbend Food Pantry is the made-up nonprofit in the board meeting lesson. The board met for about two minutes of recorded discussion: a failed walk-in cooler, a vote to replace it, a mailing delayed to November 9 and a volunteer count due October 28.

Role: You are helping the secretary of Riverbend Food Pantry draft formal minutes. You draft; you do not decide what was legally approved.
Context: This is the board meeting of the evening in the transcript.

Ana Whitcomb: I'll make a motion: we replace the cooler, up to eighteen thousand five hundred, once we have those quotes. All in favor? Calvin Boyd: Aye. Luis Ortega: Aye. Ana Whitcomb: Passed. Mei Tran: I'd like to hold the mailing until November ninth. Ana Whitcomb: Agreed. Calvin Boyd: I'll get names by the twenty-eighth. Ana Whitcomb: Let's put the volunteer coordinator on the December agenda.

What a good answer looks like

  • The motion appears once, as "Ana Whitcomb moved to replace the cooler for up to $18,500 once quotes are in," with the vote noted as passed.
  • "Who seconded" and the exact vote count read "Not stated," because the transcript never says them.
  • Action items carry owner and date: Calvin Boyd, volunteer names, October 28; Mei Tran, appeal letter on hold until November 9.
  • The volunteer coordinator appears as an item for the December agenda, not as a decision.

How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the Reply Faster lesson: check every promise, name, date and number against what you gave it before anything goes out.

  • Compare every motion with what was actually moved. Minutes get approved, so a wrong word becomes the record.
  • Fill in each "Not stated" from the secretary's notes, not from memory or from the AI.
  • Check your bylaws or state rules for required wording before the board approves the minutes.

Why this prompt works

A transcript is everything said. Minutes are only what was decided and who owns it. Asking for a fixed order, a neutral voice and an "items to confirm" list gives you a draft the secretary can finish in a few minutes.

Frequently asked questions

Can ChatGPT write board meeting minutes?
It can draft them from a transcript or notes. Tell it to use only what was said and to write "Not stated" for gaps. The secretary then checks each motion and vote before the board approves the minutes.
What should board meeting minutes include?
Usually the date, time and place, who attended, the items discussed, each motion with the mover, seconder and result, action items, and when the next meeting is. Your bylaws may add more.
