Use this right after a customer books a visit to their home or business. A good confirmation cuts down on "what time are you coming?" calls and on wasted trips where nobody is home or the dog is loose by the furnace. The weak spot is the arrival time: if your office booked an 8 to 12 window, an AI will happily tighten it to "9 a.m. sharp." This prompt copies your booking exactly and keeps out anything you didn't decide, like a price for work nobody has diagnosed yet.

The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every [BLANK] with your own details. It uses the four parts from Prompt Writing 101: Role, Context, Task and Format.

Role: You are the office coordinator at [BUSINESS], confirming a service visit a customer just booked.
Context: The booking, exactly as scheduled: [BOOKING]. What the customer should do before we arrive: [PREP]. How to reschedule or cancel: [CHANGE POLICY]. Use the arrival window as written; never narrow it to an exact time. Don't quote a price or guess at the cause of the problem unless the booking says so.
Task: Write a confirmation email to [CUSTOMER] that repeats the date, weekday and arrival window, says what the visit is for, lists the prep steps, and explains how to change the appointment.
Format: Subject line with the date and window. The key details as three or four short lines at the top, then one short paragraph. Under 140 words, friendly and plain, no emoji. Sign with the business name and phone number.

Fill in the blanks

[BUSINESS]
Your company name, trade and office phone number.
[CUSTOMER]
The customer's first name, as they gave it.
[BOOKING]
Date, weekday, arrival window, service address (street only is fine), job type and the problem in the customer's words. Copy it from your schedule, not from memory.
[PREP]
Your standard prep steps for this job type, such as clearing a path to the equipment or putting pets in another room.
[CHANGE POLICY]
How much notice you need, how to reach you, and any fee you actually charge. No fee? Say so, or leave fees out.

Example, filled in

A made-up example from the free lesson Build an AI Service Request Form for Your HVAC Company. Cedar Ridge Heating & Air is the made-up HVAC company in the AI Service Request Form lesson, where an agent sorts each request and emails a confirmation. Here the office writes the confirmation once a visit is booked.

Role: You are the office coordinator at Cedar Ridge Heating & Air, confirming a service visit a customer just booked.
Context: The booking, exactly as scheduled: Thursday, October 8, arrival window 8 a.m. to 12 p.m., 14 Birch Lane, Repair visit. Customer says the furnace runs but the air coming out is cold. What the customer should do before we arrive: clear a path to the furnace and the thermostat, put pets in another room, and leave the furnace filter in place so the tech can see it. How to reschedule or cancel: call the office at least 24 hours ahead at (555) 014-3380; there is no cancellation fee. Use the arrival window as written; never narrow it to an exact time. Don't quote a price or guess at the cause of the problem unless the booking says so.

What a good answer looks like

  • A subject line like "Confirmed: Thursday, Oct 8, between 8 a.m. and 12 p.m."
  • Date, window, address and "Repair: furnace blowing cold air" in short lines Ellen can find in two seconds.
  • All three prep steps, including the odd one about leaving the filter in.
  • The change policy as given: 24 hours, the office number, no fee.

How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the Reply Faster lesson: check every promise, name, date and number against what you gave it before anything goes out.

  • Check every promise against the booking. "Our tech will call 30 minutes ahead" sounds nice, but if your techs don't do that, it goes.
  • Match the weekday to the date on a calendar. October 8, 2026 is a Thursday; drafts slip on this more than you'd think.
  • Delete any cause or price ("probably the igniter, usually under $200"). Nobody has looked at the furnace yet.
  • If your request form already sends an automatic note, read both together so they don't contradict each other.

Why this prompt works

The rule about the window is a prompt constraint aimed at the single most common confirmation mistake. Everything else comes from the booking you paste, which is grounding: the AI arranges your facts instead of supplying its own.
