What is a chatbot?

A chatbot is software you talk to in a chat window that answers in conversation. Older chatbots followed scripted menus; AI chatbots use a language model to understand free-form questions and write replies. Either way, a chatbot talks, and acting on its answer is usually up to you.

Why it matters for a small business

Chatbots are useful when the job is answering: questions on a website, help with a draft, explaining a policy. They are cheap to try and low risk, because a person still decides what happens next.

Trouble starts when a business expects a chatbot to do something it can't. A website bot that can't see your schedule will still answer "Can you come Thursday?" in a confident tone unless it's told not to. Knowing the line between talking and acting tells you when a chatbot is enough and when you need an agent connected to real systems.

The HVAC follow-up agent lesson shows that line clearly. You build an n8n workflow for Cedar Ridge Heating & Air, a made-up family-owned HVAC company, starting with On chat message, so you talk to it through Open chat at the bottom of the canvas. Once the AI Agent has its system prompt, the OpenAI Chat Model and Simple Memory, it already works as a chatbot.

You type: Write follow-ups for today's completed calls: Linda Morales, furnace tune-up. Tom Becker, replaced AC capacitor. Grace Chen, new heat pump install. It writes three messages, two texts and an email for the install, each with a tip that fits the job. Up to this point it is only talking.

The voice-over sums up the difference: a chatbot just talks, and an agent does things. With the Google Sheets Tool attached, you send Yes, save those follow-ups to the sheet, and it writes each one as a row in Service Follow-Ups. Same chat window, but now it acts.

Common confusions

Chatbot vs AI agent

A chatbot answers. An AI agent can also decide to use tools, like adding a row to a sheet or creating a Gmail draft, to finish a task.

Chatbot vs AI assistant

People use the words interchangeably. "Assistant" usually means a general helper like ChatGPT; "chatbot" often means a bot on a website or app answering customers.

Rule-based vs AI chatbots

Rule-based bots follow a decision tree and handle only what was scripted. AI chatbots handle free-form questions but can hallucinate, so they need clear limits.

Tips

  • Tell a customer-facing chatbot what it must not answer (prices it can't see, dates it can't book) and what to say instead.
  • Give it a clear handoff, such as a phone number or "someone will follow up".
  • Read real conversations regularly to catch wrong answers early.
