How the front desk really runs usually lives in one person’s head and a messy list of notes. Every new hire relearns it the hard way, a client gets the wrong answer on the phone, and the SOP everyone agrees should exist never gets written, because nobody has a free afternoon.
ChatGPT can turn those notes into a clean one-page SOP in a minute. The catch is that it also fills gaps with rules of its own, in the same confident voice, and an SOP is a rule the office follows.
In this module you get the SOP as a document you can edit beside the chat, change one paragraph without redoing the rest, and read every line ChatGPT added before anyone uses it.
What you’ll build
A one-page Front-Desk Coordinator SOP for Harbor Point Accounting, a made-up accounting firm, built from one messy paragraph of notes: answer in three rings, take messages in the CRM, tax-season voicemail checked at 8am and 1pm, never give refund status or SSN details over the phone, greet walk-ins in 30 seconds, and ask Dana when unsure.
You select the tax-season paragraph and use Ask for changes to add a voicemail greeting. ChatGPT marks its new text in blue, including a promise to return every call that nobody wrote, so you catch it. Last, you open the download menu: Markdown, PDF or Microsoft Word.

Ask for a document, not a chat reply
Paste the notes with three things: who the SOP is for, how long it should be, and "use canvas". ChatGPT then opens an editable document next to the chat instead of a long reply.
Canvas has been replaced by a newer editable writing block, and ChatGPT may say so. It is the same idea, and "use canvas" still asks for it.
Change one part, not the whole thing
Select the paragraph you want different, click Ask for changes, and say exactly what to add or fix and how long it should be.
Asking it to redo everything changes things you already liked. Selecting one part keeps the rest exactly as it was.
Read what the AI added
New text is marked in blue. Some of it will be wording you never gave it, like a promise to return every call. Every rule in an SOP should come from you or the person who owns the process.
Then download it: Microsoft Word if someone will keep editing it, PDF to send as it is.
