Run Solo Studio: Automate Unpaid-Invoice Reminders with the Solo Operator Stack

Run Solo StudioIntermediate~10 min practice27 steps

Why this matters

When you work alone, nobody else is watching your invoices. Checking who is late and deciding what to say takes a couple of hours a week, and in the weeks you forget, the money waits.

Run Solo Studio's Solo Operator Stack includes W2, an n8n workflow that checks your Notion Finance database every morning and emails you one list of overdue invoices. You still write and send each client reminder yourself.

Practice

Do every step yourself in a practice copy of the real tool. It checks your work, and “Do it for me” finishes any step you get stuck on.

What you’ll build

Prefer to watch? The short video tour

You help Dana Ortiz, a made-up solo consultant whose three clients owe her $7,450. You import W2 into n8n, fill in its CONFIG node, connect Notion and email, set it to run on weekdays at 9 in her time zone and run a test.

You end with the real digest email from our test run, Overdue invoices: 3, and you match each invoice to the soft, firm or final step of the Stack's follow-up cadence.

What you need

  • Nothing to start the practiceThe lesson is a practice copy. Dana Ortiz, her clients and every number are made up.
  • Solo Operator Stack, to do it for real$79 one time from Run Solo Studio, with the Notion workspace, six n8n workflows and the SOP and prompt library.
  • n8nSelf-hosted is free; n8n Cloud is a paid plan.
  • A Notion integration and an email accountAn internal integration (notion.so/my-integrations) shared with your Finance database, and an SMTP or Gmail account n8n can send from.

Concepts

CONFIG holds IDs, credentials hold secrets

Every Stack workflow starts with a CONFIG node for settings such as NOTIFY_EMAIL and FINANCE_DB_ID. Passwords and API secrets never go there: they live in n8n credentials, which is why the file imports with warnings until you attach yours.

A digest for you, not an email to clients

W2 asks Notion for every Finance row whose Status is Overdue and sends you one email with a line per invoice. If nothing is overdue, it sends nothing. Client reminders stay in your hands.

Match the tone to the days late

The Stack's S10 cadence says: a soft reminder 3 days after the due date, a firm one at 7, a final notice at 14, and a decision at 30. Its P11 prompt drafts each of those emails.

Do it for real

Now repeat it in your own account. Tick each step as you go.

Quick check

3 questions to check you’ve got it.

1. Who does W2 email?

  • Each client with an overdue invoice
  • You, at the NOTIFY_EMAIL address
  • Your accountant
Show the answer

You, at the NOTIFY_EMAIL address. W2 sends you one digest. You send the client reminders yourself.

2. Where does your Notion secret go?

  • In the CONFIG node
  • In an n8n credential
  • In the workflow name
Show the answer

In an n8n credential. CONFIG holds IDs and settings only. Secrets live in n8n credentials.

3. An invoice is 7 days past due. Which reminder does the S10 cadence call for?

  • Soft
  • Firm
  • Final notice
Show the answer

Firm. S10: soft at 3 days, firm at 7, final notice at 14.
