Press release draft prompt: free ChatGPT template
Updated · By Robert Breen
Use this when you have real news, such as an opening, a hire, a partnership or a new product, and a local reporter or trade blog needs something to read. A press release follows a fixed shape: headline, a lead that answers who, what, when and where, supporting detail, a quote and a short company description. The prompt fills that shape with your facts. The quote is left for the person it belongs to, because a quote the AI writes and a real person never said is a fabrication.
The prompt
Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every [BLANK] with your own details. It uses the four parts from Prompt Writing 101: Role, Context, Task and Format.
Role: You are a communications writer drafting a press release for [COMPANY]. Context: The news: [NEWS]. Key facts, all confirmed: [FACTS]. The person who will be quoted: [SPOKESPERSON]. Their point of view, in their own words: [SPOKESPERSON VIEW]. Company description: [COMPANY DESCRIPTION]. Media contact: [CONTACT]. Task: Write a press release with a headline, a one-sentence subheadline, a lead paragraph that answers who, what, when and where, two short supporting paragraphs, a quote, a "How to find out more" line and the company description. Use only the confirmed facts. Build the quote from the spokesperson's own words above and mark it "QUOTE TO BE APPROVED". Don't add statistics, awards, firsts or claims such as "leading" or "first". Mark any missing detail as "TO CONFIRM". Format: Standard press release layout in plain text: FOR IMMEDIATE RELEASE at the top, the headline, the body, then the contact line and "###" at the end. Under 350 words. No emoji and no hype words.
Fill in the blanks
[COMPANY]- Your company name.
[NEWS]- What is happening, in one sentence.
[FACTS]- Dates, address, names, prices and numbers that you have confirmed. Nothing you are unsure of.
[SPOKESPERSON]- Who is quoted, with title.
[SPOKESPERSON VIEW]- What that person actually said or would say, as close to their words as you can get.
[COMPANY DESCRIPTION]- Two sentences about the company, reused from your website.
[CONTACT]- Name, email and phone for media questions.
Example, filled in
A made-up example from the free lesson Build an n8n AI Agent That Plans Your Content Calendar. Harbor & Pine Coffee Roasters is the made-up coffee company from the marketing lessons. Its second tasting room, and every detail below, is invented for this example.
Role: You are a communications writer drafting a press release for Harbor & Pine Coffee Roasters. Context: The news: Harbor & Pine is opening a second tasting room. Key facts, all confirmed: opens Saturday, November 8 at 9am; 214 Mill Street; weekend tasting flights of four coffees; the first 50 visitors get a small bag of beans. The person who will be quoted: Maya, owner. Their point of view, in their own words: "People kept asking where they could taste the coffees before buying a bag, so we made a place for it." Company description: Harbor & Pine is a small-batch coffee roaster that sells beans to homes and offices. Media contact: Luis, press@example.com.
What a good answer looks like
- A lead that holds who, what, when and where: Harbor & Pine, a second tasting room, November 8 at 9am, 214 Mill Street.
- The quote uses Maya's own sentence and is marked for her approval.
- Nothing like "award-winning" or "first in the region" appears.
- Missing details are flagged "TO CONFIRM" rather than guessed.
How to check it before you use it
An AI draft can sound right and still say something you never told it. Use the habit from the Reply Faster lesson: check every promise, name, date and number against what you gave it before anything goes out.
- Check the date, time, address and the "first 50 visitors" offer against your plan. These get copied by outlets.
- Send the quote to the person quoted and get a yes before the release goes anywhere.
- Search for superlatives the model added anyway, such as "premier" or "renowned", and delete them.
- Spell every name correctly, including the contact's. Reporters call that number.
Why this prompt works
Press releases are easy to over-write. Limiting the model to confirmed facts, and flagging the quote for approval, keeps the draft honest and keeps you out of trouble with the person you quote.
