AI for Nonprofit Staff: Board Minutes, Donor Numbers, Communications and a Safe AI Policy

What you’ll be able to do: After this course you can turn a board meeting transcript into minutes, an action table with owners and due dates and a recap to the board, analyze a donor gift export in ChatGPT and catch the double-synced gifts and unreceived pledges before anything is added up, and check the same export in Better Analyst with a note on what a person must confirm. Then you write one set of facts for the board, staff and donors, build a Custom GPT that writes on-brand posts every time, make an event poster and a Story version with ChatGPT Images, turn notes into a board deck in Gamma, and finish by turning off model training, keeping donor details out of prompts and rolling out a one-page AI policy with a staff quiz.

Why this course

Picture Riverbend Youth Services, a made-up nonprofit with nine staff and a volunteer board. The executive director writes the board minutes herself the night after each meeting. The development manager builds the giving report from a donor-database export that always has a few gifts synced twice and a pledge that was never received. The communications coordinator is also the program assistant, so social posts go out when there is time and never quite sound the same. The board deck is a page of notes until the morning of the meeting. And staff and volunteers have started pasting donor emails into ChatGPT with no rules.

This course fixes one job per module. Step 1: the board meeting into minutes, actions and a recap in ChatGPT. Steps 2 and 3: the donor export, cleaned and analyzed in ChatGPT, then checked in Better Analyst with a note on what a person must confirm. Step 4: one set of facts written for the board, the staff and the donors. Step 5: a Custom GPT loaded with your voice so every post sounds like you. Step 6: an event poster and Story version from a short brief and your logo. Step 7: the board deck from notes in Gamma. Steps 8 and 9: the safety work, turning off training and stripping details out of prompts, then a one-page AI policy, the announcement and a staff quiz written with Claude.

The payoff: minutes go out the same day, the board sees giving numbers someone checked, communications sound like one organization, and there is a written rule for what never goes into AI. You stay in charge the whole way: the AI drafts, you check the numbers and the promises, and donor data stays where it belongs. Each module is a practice copy of the real tool that checks your work, so you can start with no account and no budget.

Who this course is for

Every module is beginner level. You need a browser and the board, donor and communications work you already do. Do the modules in order, or start with the one that keeps you latest at night.

You can already

  • Work or volunteer at a nonprofit and write minutes, reports, posts or appeals
  • Have a donor database or spreadsheet export and a board that wants numbers
  • Nothing else: no code and no accounts to start (the practice runs in your browser)

After this course you can

  • Turn a board meeting into minutes, an action table and a recap the same day
  • Clean and analyze a donor gift export and present giving by source with a chart and takeaways
  • Write for the board, staff and donors from one set of facts, and keep every post on-brand
  • Make event images and a board deck without a designer
  • Set the AI safety settings and give staff and volunteers a one-page AI policy

What you’ll build

  • Module 1: A recap of the Riverbend Food Pantry board meeting, a made-up pantry: a three-sentence summary, three decisions, six action items with an owner and due date, and two open questions.
  • Module 2: A checked and cleaned gift export for Hillside Literacy Project, a made-up nonprofit: 1,212 rows in, 5 duplicate online gifts removed, 14 pledges ($18,750) marked “Pledge - not received” and kept out of every total, 1,193 gifts received.
  • Module 3: You run fundraising at a made-up food bank. You upload 250 rows of gifts, get totals and a chart, then make Better Analyst audit the raw data before anyone sees it.
  • Module 4: Three ready-to-send messages about one made-up job delay at Brightline Painting: an email to the client with two options and a decision deadline, a Slack to the owner with the $420 extra cost, and a text to the crew lead with the evenings and the address.
  • Module 5: A Custom GPT that writes social posts for a small marketing agency. It has written rules (no emojis, two hashtags at most, lead with a real number) and a one-page brand-voice document it reads before it writes.
  • Module 6: An Instagram poster for a fall mum sale at Fern & Stone Garden Center, a made-up shop, with its own logo top left: "FALL MUM SALE", a "3 pots for $25" ribbon, the dates and the address.
  • Module 8: You are Jordan, who manages rentals at Lakeside Property Management (a made-up company). A tenant has emailed her new bank details and a complaint about a leaking dishwasher. You switch off model training, swap her name, unit and bank numbers for placeholders like [TENANT] and [NEW BANK DETAILS], and get a friendly reply drafted.
  • Module 9: For Northfield Consulting Group, a made-up 18-person firm, you send Claude one request with seven rules: the approved tools, what never goes in, what is fine to use, a person checks every output, be open with clients, who to ask, and a same-day, no-blame rule for mistakes.

Questions about this course

How can a small nonprofit use AI?

For the writing and number-checking that falls on a few people: board minutes, donor reports, appeals and posts, event images and board decks. This course does each in a hands-on module and ends with the safety settings and a one-page policy so donor data never goes into a public AI tool. The AI drafts; a person checks every number and promise.

Is there a free AI course for nonprofit staff?

Yes. This course is free: 9 hands-on modules, about 77 minutes in all, in practice copies of ChatGPT, Better Analyst, Gamma and Claude. No credit card and no sign-up to start. Each finished module comes with a free certificate of completion.

Can I put our donor database into ChatGPT?

Not the raw database. Modules 2 and 3 use a made-up gift export with names removed, and show you how to catch the duplicates and unreceived pledges before anything is totaled. Module 8 shows how to turn off model training and take personal details out of a prompt, and module 9 gives staff and volunteers the written rule. For real donor data, check your database vendor's terms and your privacy policy first.

Which AI tools does this course use, and do they cost money?

ChatGPT for minutes, donor analysis, communications, a Custom GPT and images, Better Analyst for a second check of the donor export, Gamma for the board deck and Claude for the AI policy. The practice copies are free. For real use, ChatGPT Images and Custom GPTs need a paid ChatGPT plan; the others have free plans, and nonprofit discounts change, so check each site.

Will AI write our grant applications?

This course does not cover grant writing. It covers the recurring work around it: minutes, donor numbers, communications in your voice and a policy for safe use. The same skills (give the AI your facts, make it ask questions, check what it added) carry over to drafting a grant narrative.

How long does the course take?

The course takes about 77 minutes of hands-on practice across 9 modules of 7 to 11 minutes each. It is self-paced: one module a week before the next board meeting works well.
