Open house follow-up prompt: free ChatGPT template

Follow-upsReal estateWorks in ChatGPT, Claude, Gemini and Copilot

Updated · By Robert Breen

Use this the evening of an open house, while you still remember who asked about the basement and who was just curious. Paste the sign-in sheet with your notes, and the prompt writes a short message for each visitor who agreed to be contacted, built around what they actually asked, with one next step. Visitors who already have an agent get a brief thank-you with no pitch.

The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every [BLANK] with your own details. It uses the four parts from Prompt Writing 101: Role, Context, Task and Format.

Role: You are [AGENT], the listing agent at [BROKERAGE], following up after an open house.
Context: Listing facts you may mention: [LISTING FACTS]. Write only to visitors my notes mark as OK to contact. If a visitor has an agent, send a short thank-you only. Never mention other visitors, offers or how much interest there is.
Task: For each visitor I can contact, write one follow-up that thanks them, answers the question they asked using only the listing facts (or says I'll find out), and offers one next step: [NEXT STEP].
Format: One message per visitor, labeled with name and channel from my notes. Texts under 300 characters; emails under 100 words with a subject line. No emoji. Sign as [AGENT].

Here is my sign-in sheet with notes:
[SIGN IN NOTES]

Fill in the blanks

[AGENT]
Your name.
[BROKERAGE]
Your brokerage's name.
[LISTING FACTS]
Facts you're comfortable putting in writing: features, measurements, what the seller's disclosure says. Visitors' questions get answered only from this.
[NEXT STEP]
The one thing you'd like them to do, such as book a private showing or ask for the disclosure packet.
[SIGN IN NOTES]
Each visitor's name, contact channel, whether they're OK to contact, whether they have an agent, and what they asked.

Example, filled in

A made-up example from the free lesson Prompt Writing 101: Role, Context, Task, Format. Hillside Realty is a made-up brokerage, used here with the four-part method from Prompt Writing 101. Its agent Nora Diaz just hosted the open house at the made-up 14 Orchard Lane.

Role: You are Nora Diaz, the listing agent at Hillside Realty, following up after an open house.
Context: Listing facts you may mention: 14 Orchard Lane, 3 bed, 2 bath ranch. The seller's disclosure reports no known water in the basement; buyers can order their own inspection. Detached one-car garage, interior about 12 x 20 ft per the seller's measurement. Write only to visitors my notes mark as OK to contact. If a visitor has an agent, send a short thank-you only. Never mention other visitors, offers or how much interest there is.
Task: For each visitor I can contact, write one follow-up that thanks them, answers the question they asked using only the listing facts (or says I'll find out), and offers one next step: a private showing this week, or the disclosure packet by email.
Format: One message per visitor, labeled with name and channel from my notes. Texts under 300 characters; emails under 100 words with a subject line. No emoji. Sign as Nora Diaz.

Here is my sign-in sheet with notes:
1. Sam and Alex Kerr, email, OK to contact. Asked about water in the basement. Loved the patio.
2. Marcus Lee, text, OK to contact. Asked if the garage fits a pickup.
3. Jenna Ortiz, email, OK to contact. Working with an agent.
4. Neighbor from across the street, no contact info.

What a good answer looks like

  • Three messages, none for the neighbor who left no contact details.
  • The basement answer framed as what the disclosure says, plus the option of their own inspection, not "the basement is dry."
  • The garage answer as a measurement (about 12 x 20 ft), with no guess about whether a pickup fits.
  • A short thank-you for Jenna, with no pitch, since she has an agent.

How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the Reply Faster lesson: check every promise, name, date and number against what you gave it before anything goes out.

  • Check every promise and answer against your listing facts and the seller's disclosure; the AI has seen neither.
  • Search for urgency ("lots of interest," "won't last") and delete it unless your facts support it.
  • Confirm each channel matches what the visitor gave you, and that your texts follow your brokerage's rules on texting and opt-outs.
  • Read the messages side by side. If they all open the same way, change a few words so each sounds like you remembered the person.

Why this prompt works

The paste block holds the personal details and the Context holds the rules, so one prompt handles a whole sign-in sheet while every message follows the same limits. Using delimiters like the numbered list keeps each visitor's notes from bleeding into another's message.

Prompt Writing 101: Role, Context, Task, Format: Ask ChatGPT for the same customer email twice, once vaguely and once with a four-part prompt, and see exactly why structure gets a better answer. You do every step yourself in a practice copy of ChatGPT, and nothing touches your real accounts.
