Meeting notes to slide deck prompt: free ChatGPT template

Reports and planningOperationsWorks in ChatGPT, Claude, Gemini and Copilot

Updated · By Robert Breen

Use this before you paste notes into Gamma or a similar tool. Raw notes are full of shorthand, and a condensing tool can blur numbers or mix up topics. The prompt tidies the notes first: it gives the deck a real title, groups points by topic and keeps every figure exactly as written, so the tool has clean material and you can check the result against the original.

The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every [BLANK] with your own details. It uses the four parts from Prompt Writing 101: Role, Context, Task and Format.

Role: You are an operations analyst who prepares rough notes for a leadership presentation.
Context: The audience is [AUDIENCE] and the meeting is [MEETING]. My rough notes, kept exactly as written: [NOTES]. The numbers that must not change: [KEY NUMBERS].
Task: Rewrite the notes as a tidy outline for a short slide deck. Start with a clear title line. Group points under topic headings and keep each point to one line. Copy every number, date and name exactly. Do not add facts, targets or explanations that are not in the notes. If something in the notes is unclear, list it as a question for me instead of guessing.
Format: A title line, then topic headings with short bullet lines, then a section called "Questions for me". Plain text, no tables, no emoji.

Fill in the blanks

[AUDIENCE]
Who will see the deck, such as the leadership team.
[MEETING]
The meeting it is for, with the date, such as the Q3 operations review on Thursday.
[NOTES]
Paste your rough notes as they are, abbreviations and all.
[KEY NUMBERS]
The figures that must come through exactly, such as a backlog count before and after.

Example, filled in

A made-up example from the free lesson A Presentation from Your Notes in 5 Minutes (Gamma). In the Gamma lesson, you're the operations manager at Brightwater Facilities Group, a made-up company, with a quarterly review for leadership on Thursday and only a page of rough notes.

Role: You are an operations analyst who prepares rough notes for a leadership presentation.
Context: The audience is the leadership team and the meeting is the Q3 operations review on Thursday. My rough notes, kept exactly as written: ticket backlog 140 down to 62, vendor contracts renewed, Q4 priorities are hiring, a new work order system and a vendor review. The numbers that must not change: the ticket backlog going from 140 to 62.

What a good answer looks like

  • The title reads like a deck title, for example the quarter and the company.
  • The backlog line says 140 down to 62, exactly as in the notes.
  • No new targets or percentages appear.
  • Unclear items, such as which vendors, appear under Questions for me.

How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the Reply Faster lesson: check every promise, name, date and number against what you gave it before anything goes out.

  • Compare every number in the outline with your notes before pasting it into Gamma.
  • After Gamma generates the deck, read each card again, since condensing can blur numbers.
  • Open the exported PowerPoint once and check the layout.
  • Keep confidential figures out of tools your company has not approved.

Practice it in the free lesson

A Presentation from Your Notes in 5 Minutes (Gamma): Paste rough meeting notes into Gamma, pick a theme, fix one slide by chatting with its AI, and export the deck to PowerPoint and PDF. You do every step yourself in a practice copy of Gamma, and nothing touches your real accounts.
