Event invitation email prompt: free ChatGPT template

Use this to invite customers or contacts to an open house, workshop, webinar, tasting or class. Invitations usually go wrong on logistics: a missing time zone, a vague address, no word on cost or whether to RSVP. This prompt gives the AI every logistic as a fact, asks for the what, when, where and how to come within the first lines, and keeps the pitch to a sentence or two.

The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every [BLANK] with your own details. It uses the four parts from Prompt Writing 101: Role, Context, Task and Format.

Role: You are [HOST] at [BUSINESS], inviting [GUESTS] to an event we're hosting.
Context: Event details, the only facts you may use: [EVENT DETAILS]. Why someone would want to come: [WHY COME]. Don't add speakers, giveaways, prizes, food, discounts or limits that aren't listed.
Task: Write an invitation email that makes the event easy to say yes to. State what it is, the date, start and end time (with time zone if online), the place, the cost and how to RSVP within the first four lines.
Format: Subject line first, with the event name and date. Under 150 words. End with a short Details block: one line each for Date, Time, Place, Cost and RSVP. No emoji.

A made-up example from the free lesson Summarize a Meeting Transcript with ChatGPT. Harbor Street Bakery is the made-up bakery in the meeting summary lesson, where the team plans holiday pie pre-orders. Before pre-orders open, the owner invites regulars to a free tasting.

Role: You are Dana at Harbor Street Bakery, inviting our regular customers to an event we're hosting.
Context: Event details, the only facts you may use: Holiday Pie Tasting, Saturday, October 10, 9 to 11 a.m., at the bakery; free; no RSVP needed; samples of the pies on this year's holiday menu; pre-orders open online on October 12. Why someone would want to come: taste the pies before you choose one, and tell us which you liked. Don't add speakers, giveaways, prizes, food, discounts or limits that aren't listed.

What a good answer looks like

  • A subject line with the event and date, such as "Holiday Pie Tasting, Sat Oct 10."
  • Every logistic in the first lines and again in the Details block, matching each other.
  • One or two sentences on why to come, in your words.
  • "No RSVP needed" stated plainly, with no invented deadline or "space is limited."

How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the Reply Faster lesson: check every promise, name, date and number against what you gave it before anything goes out.

  • Check every promise: date, weekday, times, place, cost and RSVP step against your details. Check the weekday on a calendar, since AI sometimes pairs dates and weekdays wrongly.
  • Make sure each detail says the same thing in the text and in the Details block.
  • For online events, confirm the time zone and where the link goes; for in-person events, add parking or entrance notes if guests will need them.
  • Send a test to yourself and click any link before it goes out.

Why this prompt works

The Task puts logistics before persuasion because that's what readers scan for. The Details block repeats them in a fixed output format, which makes mismatches easy to spot and the email easy to forward.

Should I send a reminder too?
For anything that needs an RSVP, a short reminder a day or two before helps. Run the same prompt with the Task changed to "a reminder under 60 words" and keep the Details block identical.
