Demo no-show follow-up prompt: free ChatGPT template

Use this the same day someone misses a demo or sales call they booked. Most no-shows are a clash, not a lost deal, and a sharp or guilt-heavy note makes it awkward to come back. This prompt writes one short email that assumes good intent, offers times you can keep, and gives an easy out, plus a text version for your phone.

The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every [BLANK] with your own details. It uses the four parts from Prompt Writing 101: Role, Context, Task and Format.

Role: You are writing for [REP NAME] at [BUSINESS] to a prospect who missed a booked demo.
Context: What they booked: [MISSED MEETING]. What they told us beforehand: [PROSPECT NOTES]. Times we can offer: [NEW TIMES]. Don't guess why they missed it, don't mention how long we waited, and don't add offers.
Task: Write a short email that says we missed them without blame, offers the new times, and makes it easy to say the timing is wrong. Then write a two-sentence text message version for the same day.
Format: Email: subject line, then a body under 70 words signed by the rep. Text: under 160 characters, no link. Warm and brief.

Fill in the blanks

Who was meant to run the demo.

Your business name and what you sell.
[MISSED MEETING]
The day, time, length and format that was booked.
[PROSPECT NOTES]
What they told you on the form or in earlier emails, so the note can mention their reason for booking.

Example, filled in

A made-up example from the free lesson Build an AI Demo Request Form That Qualifies Leads. Northwind Scheduling Software is the made-up company in the demo request form lesson. A lead rated Hot picked one of the two demo times the agent offered, then didn't join the call.

Role: You are writing for Chris at Northwind Scheduling Software, which sells scheduling software to small service businesses, to a prospect who missed a booked demo.
Context: What they booked: a 30-minute video demo on Tuesday at 10am. What they told us beforehand: Leo Grant, owner of Summit Lawn & Snow, 12 crew members, wants to switch scheduling tools within a month because crews keep showing up at the wrong addresses. Times we can offer: Wednesday at 2pm or Thursday at 9am. Don't guess why they missed it, don't mention how long we waited, and don't add offers.

What a good answer looks like

  • An opening like "Sorry we missed you today" with no "we waited 15 minutes".
  • One line that ties back to his reason for booking: crews at the wrong addresses.
  • Wednesday at 2pm and Thursday at 9am, exactly as given.
  • An easy out, such as "If the timing has changed, just tell me and I'll check back next month."

How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the Reply Faster lesson: check every promise, name, date and number against what you gave it before anything goes out.

  • Hold the times you offered until he answers or the day passes.
  • Text only people who gave you their number and agreed to texts.
  • If they miss twice, stop offering times and switch to the lead no-response follow-up.
  • Log the no-show in your CRM so nobody else sends a second note the same day.

Why this prompt works

Telling the model not to guess the reason removes the blame that creeps into no-show emails. Fixed times turn the reply into a one-word decision for the prospect.
