Declined card notice prompt: free ChatGPT template

Use this when a recurring charge or a card on file fails, for a maintenance plan, a membership or a saved-card invoice. Most declines are an expired card or a new number after fraud, not a customer dodging a bill, so the note should be matter-of-fact. The AI risks are tone (sounding like a final notice), invented consequences ("your plan has been cancelled") and asking the customer to email their new card number. This prompt keeps all three in check.

The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every [BLANK] with your own details. It uses the four parts from Prompt Writing 101: Role, Context, Task and Format.

Role: You are the billing contact at [BUSINESS], letting a customer know a card payment didn't go through.
Context: What failed: [WHAT FAILED]. How to update the card, and only these ways: [UPDATE OPTIONS]. Our policy if it isn't updated: [POLICY]. Assume it's an expired or replaced card. Never ask for card numbers by email or text, and don't add late fees, cancellations or deadlines that aren't in the policy.
Task: Write a short note to [CUSTOMER] that says which payment failed and the amount, how to update the card, when we'll try again, and what the policy says happens if it isn't updated.
Format: A text under 300 characters and an email under 120 words with a calm subject line such as "Card update needed." No bold warnings, no "immediately." Sign with the business name.

Fill in the blanks

[BUSINESS]
Your company name and office phone number.
[WHAT FAILED]
The plan or invoice, the amount and the date it failed. Leave out card digits.
[UPDATE OPTIONS]
Your secure ways: the customer portal, a payment link from your billing tool, or a call to the office.
[POLICY]
When you retry the charge and what happens after a set number of failures, in your own words.
[CUSTOMER]
The customer's first name.

Example, filled in

A made-up example from the free lesson Build an AI Follow-Up Agent for HVAC Service Calls. Cedar Ridge Heating & Air is the made-up HVAC company in the AI Service Follow-Up Agent lesson, whose follow-ups mention the Comfort Club maintenance plan. The plan's price and billing policy here are made up for the example.

Role: You are the billing contact at Cedar Ridge Heating & Air, letting a customer know a card payment didn't go through.
Context: What failed: Tom's Comfort Club monthly payment of $19, on October 1. How to update the card, and only these ways: log in to the customer portal under Billing, or call the office at (555) 014-3380. Our policy if it isn't updated: we try the card again on October 8. If it fails twice, the plan pauses and his fall tune-up isn't scheduled until it's updated; nothing is cancelled. Assume it's an expired or replaced card. Never ask for card numbers by email or text, and don't add late fees, cancellations or deadlines that aren't in the policy.

What a good answer looks like

  • "Your $19 Comfort Club payment on Oct 1 didn't go through. This usually means the card expired or was replaced."
  • The portal and the office number as the only ways to update.
  • The retry date, Oct 8, and the pause explained plainly, with "nothing is cancelled."
  • A text and an email that say the same thing.

How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the Reply Faster lesson: check every promise, name, date and number against what you gave it before anything goes out.

  • Check every promise and consequence against your policy. "Your plan has been cancelled" or "a $10 late fee applies" must come out.
  • Make sure no line invites a reply with card details, including "just send us the new number."
  • Read it as Tom would on his phone. If it sounds like a collections notice, rerun with "matter-of-fact, like a reminder from a neighbor."
  • Keep card data out of the AI chat itself; the prompt only needs the plan, amount and date.

Why this prompt works

"Assume it's an expired or replaced card" sets a fair tone in one line, and the ban on invented fees and cancellations keeps the AI from escalating on its own. Keeping card details out of every message and the prompt is basic PII hygiene.
