What is turnaround time?

Turnaround time is how long it takes a business to complete a piece of work once it has everything it needs, such as five business days to finish a tax return after the last document arrives. It is a promise about your own work, not about anyone else's.

Why it matters for a small business

Customers can live with waiting. What upsets them is not knowing. A stated turnaround time ("we finish within 5 business days of receiving every document") answers the question before it is asked and gives your team a standard to meet.

The hard part is separating your turnaround from things you don't control. A tax firm controls when it finishes a return, not when a refund arrives. An insurance agency controls how fast it answers, not when the carrier pays. AI drafting replies tends to blur the two, so your facts need to say clearly which is which.

Those facts also say what the firm cannot promise: the IRS decides when a refund is issued once it accepts the return. Two forms are still missing, so the clock hasn't started.

ChatGPT's first draft gets this wrong. When you ask it to check every claim against the facts, the table flags the refund date and "file within 5 business days" as unsupported, because the turnaround only starts once every document is in. The fixed reply says "Once both are in, we'll finish your return within 5 business days" and explains that the IRS decides the refund timing.
