Why this matters
After a board meeting, someone has to write the minutes and chase the follow-ups, and at most nonprofits that someone is the executive director or a volunteer with a day job. If the recap is late, nobody remembers who promised the cooler quotes, and the next meeting starts by re-arguing what was decided.
The costly mistake is a due date nobody actually said that lands in the email as if it were agreed. Board members and volunteers take the date at face value, and then someone is blamed for missing it.
In this module you give ChatGPT the saved transcript of a board meeting and ask for a short summary, the decisions, an action table with an owner and a due date, and the open questions. You check it, add the two dates nobody said, and turn it into a recap email to the board.
What you’ll build
A recap of the Riverbend Food Pantry board meeting, a made-up pantry: a three-sentence summary, three decisions, six action items with an owner and due date, and two open questions.
Then a short, friendly recap email to the board with the decisions and next steps. The two dates nobody said out loud (the extra cooler quotes and the appeal letter draft) are filled in by you, not guessed by ChatGPT.
What you need
- Nothing to start the practiceChatGPT and Google Docs are practice copies. The transcript is already open in the doc.
- A ChatGPT account, to do it for realA free account at chatgpt.com works for practice. For real board meetings follow your organization’s policy on AI tools.
- A transcript or typed notes of the meetingGoogle Meet, Zoom and Teams can save a transcript on some plans. If yours does not, type quick notes during the meeting. Leave out donor names and anything the board agreed to keep confidential.
- The requestThe download below has the exact request from the lesson and the sample transcript. Copy the request and change the organization and names.
Concepts
3 ideas you’ll use in the practice.
Say what you want pulled out
A bare “summarize this” gives you a paragraph. Ask for the parts you actually use: a short summary, the decisions, an action table (task, owner, due date) and the open questions.
The same request works for every meeting, so save it once and reuse it.
“Not stated” beats a guess
Tell ChatGPT to write Not stated when an owner or a date was never said. That turns a quiet guess into a visible gap you can fix in ten seconds.
On a board, a made-up due date becomes a commitment with a volunteer’s name on it.
Draft minutes are not official minutes
ChatGPT’s recap is a draft. The board approves the official minutes at the next meeting, and only a person can check that a motion and its vote were recorded correctly.
Read the decisions, the dollar amounts and the owners against what you remember. Then ask for the email.
Practice
Do every step yourself in a practice copy of the real tool. It checks your work, and “Do it for me” finishes any step you get stuck on.
Do it for real
Now repeat it in your own account. Tick each step as you go.

Quick check
3 questions to check you’ve got it.
1. Nobody said when the extra cooler quotes are due. What should the action table show?
- A date ChatGPT guesses
- Not stated, until you add the real date
- Leave the row out
Show the answer
Not stated, until you add the real date. Not stated makes the gap visible so you can fix it. A guessed date becomes a commitment.
2. The recap says the board approved a motion. Who should check it?
- No one, ChatGPT is accurate
- A person, against what was actually voted on
- The volunteers
Show the answer
A person, against what was actually voted on. Draft minutes are a starting point. A person checks the motion, the amount and the vote.
3. What should you leave out of a transcript before pasting it?
- The decisions
- Donor names and anything the board agreed to keep confidential
- The dates
Show the answer
Donor names and anything the board agreed to keep confidential. The recap does not need confidential details. Follow your organization’s policy on AI tools.
Turn an Office Move Call into a Checklist
You turned a board meeting into clear minutes. Next is the same routine for a vendor call: an office-move planning call with the building manager and the IT vendor.
