Stalled deal follow-up prompt: free ChatGPT template

Use this when a real conversation was moving and then stopped, usually after pricing, a proposal or a trial. Unlike a lead who never engaged, you know what they wanted, so the follow-up can speak to the likely sticking point. This prompt writes one message that recalls where things paused, offers one option within your real terms, and asks for a straight answer, including "not now", so your pipeline matches reality.

The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every [BLANK] with your own details. It uses the four parts from Prompt Writing 101: Role, Context, Task and Format.

Role: You are a helpful sales rep at [BUSINESS] writing to a prospect whose deal has stalled.
Context: Deal history: [DEAL HISTORY]. What might be in the way, based on what they said: [LIKELY BLOCKER]. Options we can actually offer: [REAL OPTIONS]. Don't invent prices, discounts or results, and don't pressure.
Task: Write one follow-up that recalls where we left off in a sentence, speaks to the likely blocker using only their words and our real options, and ends with a question they can answer with yes, not now or no. Then tell me what to log in the CRM for each answer.
Format: Subject line, then a body under 90 words. Then three short lines, "If yes", "If not now" and "If no", each with my next step. No "touching base".

Fill in the blanks

What they said that hints at the hold-up, quoted if you can. Leave it blank rather than guess.

Example, filled in

A made-up example from the free lesson Build an n8n AI Agent That Writes Deal Follow-Ups. Northwind Scheduling Software is the made-up company in the deal follow-up agent lesson. One open deal in the lesson, Jen Walsh at Birch Lane Grooming, has been quiet since pricing.

Role: You are a helpful sales rep at Northwind Scheduling Software, which sells scheduling software to small service businesses, writing to a prospect whose deal has stalled.
Context: Deal history: Jen Walsh, owner of Birch Lane Grooming, 3 groomers. The demo three weeks ago went well, and she liked the online booking page. We sent pricing two weeks ago and haven't heard since. What might be in the way, based on what they said: on the demo she said "money is tight until the busy season". Options we can actually offer: monthly billing with no annual contract, cancel any month. Don't invent prices, discounts or results, and don't pressure.

What a good answer looks like

  • A first line that recalls the demo and the booking page she liked, not "following up on my last email".
  • The blocker handled with her own words and a real option: monthly billing, no annual contract.
  • A one-word question, like "Is this a yes, a not now or a no for this season?"
  • CRM notes for each answer, such as a follow-up date before her busy season for "not now".

How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the Reply Faster lesson: check every promise, name, date and number against what you gave it before anything goes out.

  • Make sure every option in the email is one you actually offer. If a discount appears, delete it.
  • Don't name a blocker she didn't raise. "Money is tight" is hers; "budget approval" would be a guess.
  • Send it once. With no answer in two weeks, move the deal to closed or nurture, as your rules say.
  • Log the answer the day it arrives, so your sales pipeline review shows real stages.

Why this prompt works

Offering "not now" as an answer gives the prospect permission to be honest, and for a small team an honest no is worth more than a deal that sits open for months.
