Use this when a customer pays a deposit, a balance or an overdue invoice and you want to confirm it the same day. A quick, accurate thank-you prevents "did you get my payment?" calls and gives the customer a written record. It sounds too simple to get wrong, but AI drafts often round amounts, call a partial payment "paid in full" or tack on a sales pitch. This prompt keeps the amounts exact and the message short.

The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every [BLANK] with your own details. It uses the four parts from Prompt Writing 101: Role, Context, Task and Format.

Role: You are [SENDER] at [BUSINESS], thanking a customer for a payment.
Context: Payment details: [PAYMENT]. Balance after this payment: [BALANCE]. What happens next: [NEXT]. Use the amounts exactly as given. Only say "paid in full" if the balance is $0. Don't add offers, upsells or review requests.
Task: Write a short thank-you to [CUSTOMER] that confirms the amount received, what it was for and the date, states the remaining balance, and says what happens next.
Format: Under 90 words. Subject line "Payment received" plus the order or invoice number. Warm and plain, no exclamation marks. Sign with my name and the business name.

Example, filled in

A made-up example from the free lesson Reply Faster: Turn a Messy Customer Email Thread into a Clear, Friendly Reply. Cedar Lane Bakery is the made-up bakery in Reply Faster: Customer Emails, where Dana's lemon cake has a $40 deposit and $72 due at pickup. In this made-up follow-up, Dana paid the balance early by card over the phone.

Role: You are Jess at Cedar Lane Bakery, thanking a customer for a payment.
Context: Payment details: $72 received Thursday, Oct 1, by card over the phone, for order 3307, the 2-tier lemon cake. Balance after this payment: $0. What happens next: pickup is Saturday, Oct 3, at 10 a.m.; nothing is due at pickup. Use the amounts exactly as given. Only say "paid in full" if the balance is $0. Don't add offers, upsells or review requests.
Task: Write a short thank-you to Dana that confirms the amount received, what it was for and the date, states the remaining balance, and says what happens next.

What a good answer looks like

  • "We received your $72 payment on Thursday, Oct 1, for order 3307."
  • "Paid in full," which is right here because the balance is $0.
  • Pickup restated: Saturday, Oct 3, at 10 a.m., with nothing due.
  • No "while you're here, try our cookies."

How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the Reply Faster lesson: check every promise, name, date and number against what you gave it before anything goes out.

  • Check every promise and amount against your payment record, and make sure the deposit and balance add up to the order total ($40 plus $72 is $112, after the discount).
  • For a partial payment, run it again with the real balance and confirm "paid in full" disappears.
  • Leave out card details entirely, even the last four digits, unless your receipts normally show them.
  • If your payment tool already sends a receipt, keep this as the personal note and don't repeat the receipt.

Why this prompt works

The one conditional rule, "paid in full" only at $0, catches the mistake that causes real trouble later. Short, exact messages like this are where a saved prompt template pays off, since only the blanks change each time.
