Contract renewal reminder email prompt: free ChatGPT template

Use this when you manage the office's software and vendor contracts and one is about to auto-renew. The email goes to the person who owns the budget, not to the vendor. It gives them the cost, the renewal date, the notice deadline and the decision they need to make, with enough lead time to actually negotiate or cancel. A good reminder separates three dates people confuse: the renewal date, the last day to give notice and the date you want an answer.

This prompt summarizes terms you paste. It doesn't interpret the contract. Have the contract's real wording checked, and ask an attorney about anything unclear.

The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every [BLANK] with your own details. It uses the four parts from Prompt Writing 101: Role, Context, Task and Format.

Role: You are an office manager writing an internal reminder about an upcoming contract renewal.
Context: The contract is with [VENDOR] for [WHAT IT IS FOR]. It costs [COST]. It renews on [RENEWAL DATE] and the notice terms say: [NOTICE TERMS]. Current usage: [USAGE]. The budget owner is [OWNER]. Alternatives or concerns: [CONCERNS].
Task: Write an email to the budget owner. State the three dates in order: the date I need their decision, the last day to give notice, and the renewal date. Give the cost and what renews automatically. Summarize usage and concerns in two or three lines. List the decisions they can make (renew as is, renew with changes, replace, cancel) and what each needs from them. Quote the notice terms exactly as pasted and don't interpret them. If a date is missing, write "TO CONFIRM".
Format: A subject line that includes the vendor name and the notice deadline, then a short email with the three dates as a list at the top. Under 200 words. Plain, direct.

Example, filled in

A made-up example from the free lesson Build an AI Maintenance and IT Request Form. Ridgeline Supply Co. is the made-up warehouse business from the operations lessons. The vendor, price and terms below are invented for this example.

Role: You are an office manager writing an internal reminder about an upcoming contract renewal.
Context: The contract is with ShelfTrack, a made-up inventory software vendor, for the warehouse inventory system. It costs $6,000 per year for 12 seats. It renews on December 15 and the notice terms say: "Either party may cancel by giving written notice at least 30 days before the renewal date." Current usage: 9 of 12 seats are in use. The budget owner is Carla, the operations manager. Alternatives or concerns: the vendor raised prices 10 percent last year, and the warehouse leads asked for mobile scanning.

What a good answer looks like

  • The subject line names ShelfTrack and the notice deadline.
  • Three dates sit at the top in order: the decision date you need, the notice deadline and December 15.
  • The notice wording is quoted exactly, not paraphrased.
  • Usage (9 of 12 seats) and the price increase appear as short, factual lines.

How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the Reply Faster lesson: check every promise, name, date and number against what you gave it before anything goes out.

  • Count back 30 days from the renewal date yourself. The "last day to give notice" is where costly mistakes happen.
  • Compare the quoted notice terms with the contract. Any change in wording can change the deadline.
  • Add a decision date at least a week before the notice deadline, so a delay doesn't cost a year.
  • If the terms are unclear, ask an attorney before the notice deadline, not after.

Why this prompt works

Auto-renewals depend on being forgotten. Putting the notice deadline in the subject line gets the email opened for the right reason.
