Part 1: Copy the thread
Step 1: Open the thread
Here's the inbox for Northgate Tax and Bookkeeping, a small local firm. Greg's thread has four messages, a refund he's anxious about, and two tax forms that still haven't come in.

Step 2: Expand all messages
Gmail folds up the older messages, so only the newest one is open. You want the whole story, so click Expand all, the double-arrow icon at the top right.

Step 3: Copy the thread
Read it through once. Greg wants a refund date, thinks he already sent one of the forms, and wants to email you his new bank account numbers. If there's anything private in there, like a Social Security or account number, leave it out. Here, just click the messages.

Step 4: Switch to ChatGPT
Now switch over to ChatGPT.

Part 2: Give ChatGPT the context

You're in a fresh chat. You'll give ChatGPT three things in one message: the thread, the facts, and what a good reply looks like.

Step 6: Paste the thread
First, the thread. One line tells ChatGPT what it's looking at, then the emails, oldest first.

Here is an email thread between my accounting firm and a client, oldest message first. Greg Alvarez (Sun, Sep 13): Hi Priya, I uploaded everything for our 2025 return to the portal tonight: both W-2s, the mortgage statement and the daycare receipts. Can you let me know once it's filed? We're really counting on the refund this year. Thanks, Greg Priya at Northgate Tax & Bookkeeping (Tue, Sep 15): Hi Greg, got them, thank you. We're still missing two forms: the 1099-INT for your savings account and the 1099 from your brokerage account. Once those are in, we can finish. - Priya Greg Alvarez (Thu, Sep 24): Didn't I already send the brokerage one back in August? Also we switched banks last month. Can the refund go to the new account? I can email you the numbers. Greg Alvarez (8:52 AM): Following up AGAIN. My brother got his refund weeks ago and ours isn't even filed?? I sent everything two weeks ago. When are we getting our money? I need an actual date, our tuition payment is due Nov 1.
Step 7: Add the facts
Next, the facts. ChatGPT can't see your client portal, your firm's turnaround, or what you can honestly say about a refund, so spell them out. Number them, so you can check them later.

Facts (only promise what is here): 1. On Sep 13 we received both W-2s (Greg's and Lena's), the mortgage statement (Form 1098) and the daycare receipts. 2. Still missing: the 1099-INT from their savings account at Harborview Credit Union, and the consolidated 1099 from their brokerage account. 3. What Greg sent in August was a quarterly brokerage statement, not the tax form. The consolidated 1099 is under Tax Documents when he logs in to his brokerage account. 4. Our policy: once we have every document, we finish the return within 5 business days and post it to the portal for Greg and Lena to review and e-sign. We e-file the same business day they have both signed. 5. We can't promise a refund date. Once the IRS accepts the return, the IRS decides when the refund is issued. We'll email them the acceptance confirmation, and they can check the status with the IRS "Where's My Refund?" tool. 6. New bank account: never send account numbers by email. Add the routing and account numbers in the portal under Refund details. They'll see them on the return to check before signing. 7. We missed Greg's Sep 24 email. That's on us. 8. Sign it: Priya, Northgate Tax & Bookkeeping.
Step 8: Say what a good reply looks like
Last, tell it what a good reply looks like: the tone, the three questions to answer, and a word limit. And one rule that matters most: don't invent details or promise anything that isn't in the facts.

Write my reply to Greg. Tone: calm, warm and professional, like a small local accounting firm that knows him. Apologize once for missing his Sep 24 email. Answer all three of his questions clearly: when they'll get the refund, whether the August file was the brokerage form, and the new bank account. Keep it under 200 words. No subject line, since it's a reply in the same thread. Don't invent details or promise anything that isn't in the facts.

That's a solid first draft. It apologizes once, lists what's in and what's missing, and keeps the bank numbers out of email. But read the timing paragraph: a refund by the end of October. None of the facts you gave it say that. A draft can sound helpful and still promise too much.

Five of the seven claims match a fact. The refund date doesn't, and ChatGPT caught one you might have missed: you finish the return in five business days, but you can't file until Greg and Lena sign. Still compare the table with your own facts, since you know the firm.

Now ask for specific changes, not just make it better. Use both suggested wordings, make it a little warmer and easier to scan, and keep every other fact exactly the same.

Under Greg's last message, click Reply. Your answer stays in the same thread, which is why you told ChatGPT to skip the subject line.
