Build an AI Customer Service Bot with ChatGPT
Your team answers the same customer questions every week: hours, service areas, policies, how to book. What you will build (coming soon)
In this module you will build a customer service GPT in ChatGPT. You will give it clear instructions about how to talk to customers and upload a knowledge base: your FAQ, policies, service list and hours. When someone asks a question, the GPT will look for the answer in those documents and reply in your voice.
Just as important, you will teach it what to do when the answer is not in the knowledge base: say so plainly and point the customer to a person, rather than guessing.
Think of questions like "Are you open on Saturdays?", "Do you serve my town?" or "What is your cancellation policy?" Your staff answer these from memory dozens of times a week. The assistant will answer them the same way every time, straight from your documents.
Who this is for
This module is planned for small teams that handle customer questions by phone, email or chat and want help with the repeat ones. It suits front-desk staff, office managers and owners who are the whole support team. No coding will be needed.
It will build directly on the Custom GPT Social Media Assistant module, which already walks you through naming a GPT, writing instructions and uploading a knowledge file. If you have done that one, this will feel familiar.
What the module will cover
The exact steps are still being built, but the plan is:
- Gathering your knowledge base: turning scattered answers into one or two clean documents.
- Creating the GPT and writing instructions for tone, length and how to greet customers.
- Adding rules for staying inside the knowledge base and handing off to a person when unsure.
- Uploading your documents as knowledge.
- Testing it with real customer questions, including ones it should not answer.
- Deciding who on your team gets access and how to keep the documents up to date.
Why a knowledge base makes the difference
A general chatbot knows a lot about the world and nothing about your business. Ask it your return policy and it will describe a typical one, which may be wrong for you. A knowledge base changes the question from "what is usually true?" to "what does this document say?" That is how you get answers that match your real policies and prices.
The handoff rule matters as much as the documents. An assistant that admits it does not know is far more useful than one that sounds confident and is wrong.
How you write the documents matters too. One topic per section, a clear heading for each, and plain answers in the first line make it easier for the assistant to find the right passage. The module will show you how to tidy a messy FAQ into something the AI can use well, and how to test that it is actually reading from it rather than filling gaps from general knowledge.
How you will use it in your business
A common first use is internal: your staff ask the GPT while they are on the phone or writing a reply, so everyone gives the same answer. From there you can decide whether to share it more widely, once you are confident in its answers and its handoffs. Whenever a policy changes, you update the document and the GPT follows. Treat the knowledge base as a living document. Each time the assistant hands a question off to a person, ask whether the answer belongs in the documents. A few minutes of updates each month keeps it accurate and steadily more useful.
What you will need
- A ChatGPT account on a plan that lets you create and share your own assistants.
- Your existing answers in writing: an FAQ page, a policies document, a service list with prices and your hours. Rough notes are fine to start with.
- A handful of real customer questions to test with, including a few tricky ones.
- A clear handoff: the phone number, email or person the assistant should point customers to when it cannot help.
