AI Quote Replies: Answer Price Emails from Your Price List

"How much for..." is probably the most common email a service business gets. This upcoming Stepthrough module will show you how to answer those emails automatically, with an AI that drafts a quote from your own price list instead of guessing. It is coming soon to the Business Automations section.

What you will build (coming soon)

In this module you will build an n8n workflow that watches your inbox for pricing questions and drafts a quote reply for each one. The AI will read what the customer is asking for, look it up in your own price list, and write a short, friendly reply with the price, what is included and how to book.

For example, a customer might write "How much would it cost to clean a three-bedroom house every two weeks?" The workflow will find the matching line on your list and draft a reply with that price and the next step to book. The key idea is grounding. The AI will not make up numbers. It will only quote from the list you give it, and when a request does not match anything on the list, it will say someone will follow up with a custom quote.

Who this is for

This module is planned for service businesses that price from a menu: cleaners, lawn and pest companies, handymen, photographers, detailers and repair shops. If you spend part of every day typing the same prices into the same kind of email, this is aimed at you.

It will build on the AI Email Responder module. If you want a head start, do that one first. It already covers the Gmail trigger, the AI Agent and saving replies as drafts.

What the module will cover

The exact steps are still being built, but the plan is:

• Setting up your price list in a simple, clear format the AI can read, with service names, prices and what each one includes.
• Triggering the workflow when a new email arrives in Gmail.
• Adding an AI Agent with a system prompt that says: only quote from the price list, never invent a price, and flag anything unusual for a person.
• Giving the agent access to the price list so it can look up the right line.
• Saving each quote as a Gmail draft in the same thread, so you check it before it goes out.
• Testing it on a few sample customer emails, including one that asks for something not on the list.

Why quote from a price list

An AI model left on its own will happily invent a reasonable-sounding price. That is the last thing you want in a quote. Giving it your real list and a strict rule to stay inside it turns a risky guess into a lookup. The AI still does the part it is good at, reading a messy customer email and writing a clear reply, while the numbers come from you.

Drafts add a second layer of safety. You stay the final check on every quote, and the AI handles the typing.

This mirrors how the AI Email Responder module works for Greenline Pest Control, where the agent only uses the prices in its instructions and says someone will follow up when it does not know. The quote module takes that one step further by moving the prices into a list you can grow and edit on its own.

How you will use it in your business

Once it is running, pricing questions will get a ready-to-send reply within a minute or two of landing. You read it, adjust if the job is unusual, and send. Faster replies tend to win more jobs, and your quotes stay consistent no matter who on the team handles the inbox. When your prices change, you update the list, not the workflow.

A good way to start is with your ten most requested services. Get those answering well, watch which questions still get flagged for a person, and add the common ones to the list. Over time the share of emails that need your full attention drops, and the ones that remain are the jobs that really do need a custom quote.

What you will need

• An n8n account and an OpenAI API key with some credit. The n8n AI agent module walks you through both.
• A Gmail account that customers write to.
• Your current price list. A spreadsheet with one service per row works well, with columns for the service, the price and what is included.
• A short list of rules for anything that changes the price, such as travel distance, size or rush jobs, so the AI knows when to hand off.

Is this course really free?

Yes. Stepthrough is completely free, and the practice copy needs no accounts. To build it for real you need your own n8n, OpenAI and Google accounts, and some of those cost money once you use them for real work.

Will the AI make up prices?

The module is designed around a strict rule: only quote from your price list. Anything not on the list gets flagged for a person instead.

Will quotes be sent automatically?

The plan is to save each quote as a draft, so you review it before sending, the same way the AI Email Responder module works.
