What is a filter in a BI dashboard?

Quick answer

In BI, a filter limits which rows a chart or dashboard uses, for example only the East region, only the last 90 days or only open orders. Filters can be fixed by the builder or shown as controls so viewers pick for themselves.

Why it matters

One well-built dashboard with good filters can replace a dozen near-identical reports ("sales for East", "sales for West", "sales for West, product A"). Viewers answer their own follow-up questions, and the analyst maintains one thing instead of twelve.

Filters also cause silent errors. A chart left filtered to "last month" looks fine but answers the wrong question. Showing active filters on the dashboard keeps everyone honest.

A worked example

A recruiting team’s dashboard shows applicants by stage across 30 open roles. Hiring managers only care about their own roles, so the builder adds a Department filter shown as a drop-down and sets it to apply to every chart. The engineering manager picks Engineering and sees 4 roles and 212 applicants instead of 30 roles and 1,140.

A second, hidden filter excludes test applicants (anyone with an @company.com email). That one is fixed by the builder, so nobody can accidentally include them.

Often confused with

Filter vs slicer

"Slicer" is Power BI’s name for an on-screen filter control. Tableau calls the same thing a filter card or quick filter.

BI filter vs automation filter

In automation tools a filter decides whether a workflow continues. See the Zapier filter in the AI glossary. In BI, a filter decides which rows a chart shows.

Filter vs drill-down

A filter removes rows. A drill-down keeps the rows but moves to a more detailed level, such as from year to month.

Tips

  • Show filters viewers will actually change; hide the fixed ones.
  • Apply shared filters to every worksheet that uses the same data source.
  • Put the active date range in the dashboard title.

Frequently asked questions

How do I make one filter control several charts in Tableau?
Right-click the filter and choose Apply to Worksheets, then All Using This Data Source (or Selected Worksheets).
What is a context filter?
A filter Tableau applies first, before others such as Top 10. It is useful when you want "top 10 products within the East region".
Do filters make dashboards slower?
Filters on large live sources can. Extracts and data source filters keep things fast.
