What is a data source in BI?
Quick answer
A data source is the connection a BI tool reads from: a spreadsheet, a CSV export, a database table or a cloud app such as a CRM. It defines which rows and columns the charts can use and how fresh they are.

Why it matters
Every chart is only as good as its source. If the source is a CSV someone exports by hand on Mondays, the dashboard is a week old by Friday and stops if that person is out. If it connects to the system directly, it stays current on its own.
Most BI tools let several charts share one data source. Fixing a definition there (for example, removing test orders) fixes it everywhere at once, which is a big reason to connect once instead of pasting data into each report.
A worked example
A small accounting firm tracks client work in a Google Sheet with one row per engagement: Client, Partner, Service, Fee and Status. They connect Tableau to that sheet. The sheet is the data source, and three charts (fees by partner, fees by service and open engagements) all read from it.
One partner had been entering fees with a "$" and commas typed as text, so their engagements showed as zero. Fixing the column format in the sheet fixed all three charts after one refresh.
Often confused with
Live connection vs extract
A live connection queries the source each time someone opens the dashboard. An extract is a saved snapshot that refreshes on a schedule. Extracts are faster; live connections are fresher. Tableau Public works with extracts.
Data source vs data warehouse
A data warehouse is one possible data source: a central database built for reporting. A single spreadsheet is a data source too.
Data source vs dataset
Mostly the same idea. "Data source" usually means the connection plus its settings, while "dataset" means the rows themselves.
Tips
- Keep one row per thing (one order line, one ticket) with no total rows mixed in.
- Name the source after what it is ("Orders, daily export"), not the file name.
- Write down who owns the source and how often it refreshes.

Frequently asked questions
- Can Google Sheets be a Tableau data source?
- Yes. Tableau Desktop and Tableau Public can connect to Google Sheets, as well as Excel files and CSVs.
- Can one dashboard use two data sources?
- Yes, through relationships, joins or blending, but beginners should start with one clean source per dashboard.
- What is a data source filter?
- A filter applied at the source, so the excluded rows never reach any chart. It is useful for removing test or cancelled records everywhere at once.
