What is co-authoring in Microsoft 365?
Quick answer
Co-authoring is when several people open and edit the same Word, Excel or PowerPoint file at the same time, each seeing the others’ changes within seconds. It works when the file is saved in OneDrive or SharePoint and AutoSave is on.

Why it matters
Without co-authoring, a shared file is passed around: one person edits, saves, emails it on, and anyone who edits in the meantime creates a conflicting copy. With it, there is only ever one file, so nobody has to merge versions or ask which copy is current.
It also changes how meetings run. A team can fill in a budget or review a proposal together, live, instead of collecting comments by email and having one person type them all in afterwards.
A worked example
Four regional managers at a distribution company each own a section of the quarterly forecast workbook, which lives in the Finance channel of Teams. On Thursday afternoon all four have it open. Each sees the others’ cursors in different colors and the regional totals update as numbers go in.
The finance lead watches the summary tab fill in. By 4pm the forecast is complete, a job that used to take a week of emailed copies and one long evening of copy and paste to combine them.
Often confused with
Co-authoring vs shared workbooks
Shared Workbooks is an older Excel feature that Microsoft has replaced with co-authoring. It does not work with OneDrive or SharePoint.
Co-authoring vs sharing
Sharing gives someone access to a file. Co-authoring is what happens when several people with edit access have it open at once.
Co-authoring vs tracked changes
Tracked changes record each edit for someone to accept or reject later. Co-authoring applies edits immediately. In Word you can use both together.
Tips
- Save the file to OneDrive or SharePoint first, then share a link; attachments cannot be co-authored.
- Give each person their own section or tab to avoid editing the same cells.
- Use version history to see or restore an earlier state if something goes wrong.
