HR and office managers answer the same policy questions all day: how much time off is left, what the holiday schedule is, how expenses work, who approves leave. The answers are in the handbook, but nobody wants to search a long PDF, so they ask a person instead. Each answer is small, and together they crowd out the HR work that needs real judgment. Automating employee policy questions with AI gives staff an assistant that answers from your own handbook, points to where the answer came from, and leaves the sensitive cases to HR. Start with [Answer Employee Policy Questions Instantly using Airia](https://learn.ynteractive.com/content/airia-hr-policy-agent-employee-handbook-questions), a free lesson where you give Airia your handbook and build a [no-code](https://learn.ynteractive.com/content/glossary/no-code) agent that answers from it.

## Why automate employee policy questions at all?

Because the questions repeat and the answers are already written down. That is the best case for AI: the source is fixed, the answers can be checked, and a wrong answer is easy to spot against the [employee handbook](https://learn.ynteractive.com/content/glossary/employee-handbook).

There is a catch. A general chat assistant does not know your policies, and if you ask it about leave or benefits it may describe a typical policy instead of yours. That made-up answer is a [hallucination](https://learn.ynteractive.com/content/glossary/hallucination), and in HR it can cause real problems. Every workflow below solves this the same way: the AI answers only from your own documents, and a person handles anything personal or undecided.

## Which policy question workflows should you set up first?

Start with a single agent over your handbook. Add the more involved builds once your team is using it.

### 1. How do you build an HR policy agent from your handbook without code?

In the Airia lesson you give Airia your handbook, build a no-code agent that answers time-off and benefits questions from it, test it, and share it with your team. Testing is the step that matters: ask it questions you know the answers to, and one it should not be able to answer, before anyone else uses it.

- **Tool fit:** Airia, because the whole agent is built and shared without code, which suits an HR team without technical help.
- **Learn it:** [Answer Employee Policy Questions Instantly using Airia](https://learn.ynteractive.com/content/airia-hr-policy-agent-employee-handbook-questions).

### 2. How do you make a long handbook searchable for an AI helpdesk?

A long handbook will not fit neatly into one [prompt](https://learn.ynteractive.com/content/glossary/prompt). The usual method is [RAG](https://learn.ynteractive.com/content/glossary/rag): split the documents into pieces, store them in a searchable index, and have the agent look up the right pieces first. In the first [Pinecone](https://learn.ynteractive.com/content/glossary/pinecone) lesson you create a free Pinecone index, then build an n8n workflow that reads your handbook from Google Drive, cuts it into chunks (see [chunking](https://learn.ynteractive.com/content/glossary/chunking)), turns them into [embeddings](https://learn.ynteractive.com/content/glossary/embeddings) and stores them in Pinecone. Run it again whenever the handbook changes.

- **Tool fit:** n8n plus Pinecone. It takes more setup than Airia, and you control which documents go in and when they update.
- **Learn it:** [Make Your Handbook Searchable for an AI Helpdesk using Pinecone + n8n](https://learn.ynteractive.com/content/pinecone-n8n-load-docs-vector-database).

### 3. How do you build a staff helpdesk that cites the handbook page?

Once the handbook is in Pinecone, you add the chat. In the second lesson you build an n8n chat agent that searches your handbook in Pinecone before every answer, cites the page it came from, and says it does not know when the answer is not there. The citation is what makes staff trust it: they can open the page and check.

- **Tool fit:** n8n with an AI agent, plus the Pinecone index from workflow 2. ChatGPT or Claude can be the model inside the agent.
- **Learn it:** [Answer Staff Questions from Your Own Docs using n8n + Pinecone](https://learn.ynteractive.com/content/n8n-ai-agent-pinecone-rag-chatbot).

### 4. How do you answer a personal leave request without promising too much?

Some questions should not go to a bot. When an employee emails about parental leave and asks for full pay, extra time and approved dates, a warm "yes to all of it" is the easiest reply to write and the hardest to take back. In the lesson you give ChatGPT the email thread and the facts from your leave policy, get a draft, and have ChatGPT check every promise in it against those facts. You catch the pay schedule, the unpaid weeks that need sign-off and the approval you cannot give yet, then send a warm, accurate reply with a clear next step. The example uses a made-up employee at Fernhill Architecture, a made-up firm.

- **Tool fit:** ChatGPT or Claude, with the policy written as a numbered list of facts. A person sends the reply.
- **Learn it:** [ChatGPT: Answer Leave Questions Without Overpromising](https://learn.ynteractive.com/content/hr-leave-policy-reply).

### 5. How do you explain new policies and onboarding in a way people absorb?

Two lessons cover the policies people need to learn rather than look up. With Claude you write a one-page [AI acceptable use policy](https://learn.ynteractive.com/content/glossary/ai-acceptable-use-policy) from your own rules, check the parts that matter, then get the announcement email and a five-question staff quiz. With NotebookLM you paste a new hire handbook and meeting notes into a notebook, customize an [Audio Overview](https://learn.ynteractive.com/content/glossary/audio-overview) for two new hires, listen, join the conversation in Interactive mode, and share it with them.

- **Tool fit:** Claude for writing and rolling out a policy. NotebookLM (now Gemini Notebook) for turning onboarding documents into something new staff can listen to.
- **Learn it:** [Roll Out a Team AI Policy in One Afternoon using Claude](https://learn.ynteractive.com/content/ai-acceptable-use-policy-claude) and [NotebookLM Audio Overview: Turn Your Documents into a Podcast](https://learn.ynteractive.com/content/notebooklm-audio-overview-podcast-from-your-documents).

## Which tool fits each policy question workflow?

| Workflow | Best fit | Free lesson |
| --- | --- | --- |
| Handbook agent, no code | Airia | [Airia HR policy agent](https://learn.ynteractive.com/content/airia-hr-policy-agent-employee-handbook-questions) |
| Load the handbook into a search index | n8n plus Pinecone | [Load docs into Pinecone](https://learn.ynteractive.com/content/pinecone-n8n-load-docs-vector-database) |
| Staff helpdesk with citations | n8n chat agent plus Pinecone | [Pinecone helpdesk](https://learn.ynteractive.com/content/n8n-ai-agent-pinecone-rag-chatbot) |
| Personal leave replies | ChatGPT or Claude, sent by HR | [Leave-policy reply](https://learn.ynteractive.com/content/hr-leave-policy-reply) |
| New policy rollout | Claude | [Team AI policy](https://learn.ynteractive.com/content/ai-acceptable-use-policy-claude) |
| Onboarding audio guide | NotebookLM | [Audio Overview](https://learn.ynteractive.com/content/notebooklm-audio-overview-podcast-from-your-documents) |

A simple split: general questions with one right answer in the handbook go to an agent. Questions about one person's situation go to HR, with AI helping draft the reply.

## What should a policy agent never answer on its own?

Anything about one person's pay, health, performance or discipline, and anything that needs an approval. Tell the agent to say it cannot answer and point the employee to HR, and test that it does. An agent that answers "Can I take next Friday off?" with a yes has made a promise nobody approved.

Watch what goes into the tools too. Load only the handbook and policies, not employee records. When you draft a personal reply, leave out medical details and anything about other employees, and use a business account that does not train on your chats, as the leave lesson advises. Keep a [human in the loop](https://learn.ynteractive.com/content/glossary/human-in-the-loop) on every message that reaches an employee about their own situation, and keep the agent's documents current, because an agent answering from last year's handbook is confidently wrong. [Know What Never Goes into AI](https://learn.ynteractive.com/content/what-not-to-put-into-ai-data-classification) helps you decide what stays out.

## Key takeaways

- Policy questions repeat and the answers are written down, which makes them a good fit for AI.
- Airia builds a handbook agent without code; n8n plus Pinecone gives you a cited helpdesk you control.
- Ask the agent to cite its source and to say when it does not know.
- Personal questions such as leave go to HR, with ChatGPT or Claude drafting from numbered policy facts.
- Keep employee records out of the agent, and update its documents when the handbook changes.

## Frequently asked questions

**Can an AI agent replace our HR team for policy questions?**

No. It can answer the general, repeat questions from the handbook so HR spends less time on them. Anything personal, sensitive or needing approval should still go to a person.

**What if our handbook is out of date?**

Fix the handbook first. The agent answers from whatever you give it, so an old document produces old answers. With the n8n and Pinecone build, rerun the loading workflow whenever the handbook changes.

**Which workflow should a small HR team start with?**

The Airia handbook agent. It needs no code, it uses the handbook you already have, and you can share it with staff once you have tested it. The [AI for Recruiting & HR](https://learn.ynteractive.com/courses/ai-for-recruiting-and-hr) course covers the rest of the HR workflows.
