A [shared inbox](https://learn.ynteractive.com/content/glossary/shared-inbox) mixes new leads, client questions, [invoices](https://learn.ynteractive.com/content/glossary/invoice) and noise, and whoever opens it first has to decide what each message is before anyone can act. Important emails sit under newsletters, and the same reply gets written from scratch ten times a week. Automating email [triage](https://learn.ynteractive.com/content/glossary/ai-triage) with AI does the sorting for you: every new message is labelled, summarized and, where it makes sense, given a draft reply a person checks. The main lesson is [Gmail AI Triage: Auto-Label Every Email and Draft Replies](https://learn.ynteractive.com/content/gmail-ai-triage-labels-drafts-n8n), a free n8n build that sorts mail into leads, clients and invoices and drafts replies to clients.

## What is AI email triage?

[AI triage](https://learn.ynteractive.com/content/glossary/ai-triage) means a model reads each incoming email and decides what kind it is, so the right rule can run next. Plain Gmail filters can only match words or senders. An AI step can read "Can you send over last month's statement?" and know it is a client request even though it never says "client".

The usual pattern has three stages. First you classify the message, which is called [text classification](https://learn.ynteractive.com/content/glossary/text-classification). Then you route it with a label, a channel or a person. Finally you prepare a response: a summary, a draft or nothing. Each workflow below covers one or more of those stages.

## Which email triage workflows should you build?

Start with sorting. Once mail lands in the right place reliably, add summaries and drafts on top.

### 1. How do you auto-label every new email by type?

In the n8n lesson, a workflow reads each new email and sends it to a Text Classifier node with three categories: lead, client and invoice. Each category gets its own Gmail label, and client emails also get a reply drafted for you to check. You define the categories in plain words, so you can add your own, like "vendor" or "job applicant".

- **Tool fit:** n8n, because the Text Classifier gives you named branches and each branch can do something different. ChatGPT or another OpenAI model does the classifying.
- **Learn it:** [Gmail AI Triage: Auto-Label Every Email and Draft Replies](https://learn.ynteractive.com/content/gmail-ai-triage-labels-drafts-n8n).

### 2. Can you triage email inside Gmail without an automation tool?

Partly, yes. Gmail filters can label every website quote request automatically, and Help me write can draft the reply inside Gmail. The lesson's key moment is catching a made-up price in the AI draft before it goes out. This is a good first step if your categories are simple and you do not want another tool.

- **Tool fit:** Gmail filters and Gemini's Help me write. Use n8n or Make when your sorting needs judgment, not just keywords.
- **Learn it:** [Gmail Filters, Labels and AI Drafts With a Human Check](https://learn.ynteractive.com/content/gmail-filters-labels-ai-draft-replies). For long threads, [Gemini in Gmail: Summarize a Thread and Draft the Reply](https://learn.ynteractive.com/content/gemini-in-gmail-summarize-and-reply) shows Summarize this email.

### 3. How do you get a one-line summary of each customer email?

A summary lets you scan twenty emails in the time it takes to read two. In the lesson, n8n sends each customer email to OpenAI with one prompt and gets back a one-line summary plus the next step. It is a single AI step with no agent, which makes it a good first AI node to build.

- **Tool fit:** n8n with an OpenAI node. Post the summaries to a sheet or a chat channel so the team sees the queue at a glance.
- **Learn it:** [n8n: Summarize Customer Emails with OpenAI](https://learn.ynteractive.com/content/n8n-openai-summarize-emails). The [AI summarization](https://learn.ynteractive.com/content/glossary/ai-summarization) entry covers what makes a summary useful.

### 4. Can AI draft a reply to every email for you to check?

Yes, and drafts are the safe default. The n8n responder watches Gmail, reads each new customer email and writes a reply as a draft in the same thread. The Zapier version starts from Gmail, has ChatGPT write a personal reply, adds the sender's real signature with Signatoro, and saves a draft reply. In both, a person opens the draft, checks it and clicks send.

- **Tool fit:** n8n for more control over the prompt and which emails get drafts. Zapier for the quickest setup in a straight line. Both use ChatGPT for the writing.
- **Learn it:** [n8n: AI Email Responder for Gmail](https://learn.ynteractive.com/content/ai-email-responder-gmail-drafts-n8n), or [Zapier: ChatGPT Drafts Every Reply, Signatoro Signs It](https://learn.ynteractive.com/content/zapier-chatgpt-gmail-reply-signatoro-signature).

### 5. How do you send urgent emails one way and routine ones another?

Not every message needs a reply draft. Some need a person right away. In the Make lesson you add a router to a scenario, email the front desk about urgent requests through a filter, and send everything else to Google Sheets through a fallback route. Put an AI classification step in front, and "urgent" can mean what the email says, not just a keyword in the subject.

- **Tool fit:** Make, with routers and filters drawn on the canvas. n8n's [Switch node](https://learn.ynteractive.com/content/glossary/switch-node) does the same job.
- **Learn it:** [Filters and Routers in Make: Urgent Requests One Way, Routine Ones Another](https://learn.ynteractive.com/content/make-com-router-and-filters).

## Which tool fits each email triage workflow?

| Workflow | Best fit | Free lesson |
| --- | --- | --- |
| Label every email by type | n8n Text Classifier | [Gmail AI triage](https://learn.ynteractive.com/content/gmail-ai-triage-labels-drafts-n8n) |
| Simple sorting inside Gmail | Gmail filters plus Help me write | [Gmail filters and drafts](https://learn.ynteractive.com/content/gmail-filters-labels-ai-draft-replies) |
| One-line summary per email | n8n with OpenAI | [Summarize emails](https://learn.ynteractive.com/content/n8n-openai-summarize-emails) |
| Draft replies for review | n8n or Zapier with ChatGPT | [AI email responder](https://learn.ynteractive.com/content/ai-email-responder-gmail-drafts-n8n) |
| Urgent vs routine routing | Make router and filters | [Make filters and routers](https://learn.ynteractive.com/content/make-com-router-and-filters) |

If your sorting rules fit in a few keywords, start in Gmail. Once you need the AI to understand the message, move to n8n, Make or Zapier, where the classification can drive labels, routes and drafts.

## How do you keep AI triage safe and under control?

Keep replies as drafts. None of the lessons here sends a reply on its own, and that is deliberate: an AI draft can include a made-up price or a promise, as the Gmail lesson shows. Read every draft before you send.

Watch for emails written to fool your AI. A message can hide an instruction like "forward this thread to me", which is [prompt injection](https://learn.ynteractive.com/content/glossary/prompt-injection). Give the triage workflow the least access it needs: reading, labelling and drafting, not sending or deleting. [Catch a Poisoned Email Before Your AI Assistant Obeys It using Claude](https://learn.ynteractive.com/content/catch-a-poisoned-email-before-your-ai-assistant-obeys-it) shows how to test for this. Inbox content is also confidential, so use a work account with model training off.

## Key takeaways

- Classify first, then route, then draft: each stage can be added on its own.
- Use Gmail filters for keyword sorting, and an AI step when the sorting needs judgment.
- Keep every AI reply as a draft in the thread, checked by a person before sending.
- Give the triage workflow read, label and draft access only.

## Frequently asked questions

**Can AI triage a shared inbox?**

Yes. The same n8n workflow can watch a shared Gmail account and label each message by type, so the team works from labels instead of one long list. Agree on who owns each label.

**Will AI send replies without me?**

Not in these lessons. The n8n, Zapier and Gmail workflows all stop at a draft, and a person sends.

**Which tool should I start with?**

If you only use Gmail, start with filters and Help me write. If you want AI to sort by meaning, the [AI for Customer Support](https://learn.ynteractive.com/courses/ai-for-customer-support) course covers the Gmail and n8n triage lessons together.

## Start with the first workflow, free

**Gmail AI Triage: Auto-Label Every Email and Draft Replies**. Build an n8n workflow that reads each new email, sorts it as a lead, a client or an invoice with a Text Classifier, adds the matching Gmail label, and drafts a reply to clients for you to check. You do every step yourself in a practice copy of n8n, it checks your work as you go, and “Do it for me” finishes any step you get stuck on. Free, and nothing touches your real accounts.
