Operations runs on follow-through, and follow-through is where things slip: a review meeting ends with "let's keep an eye on it", a vendor's "should be back next week" becomes a promise to customers, and the fix for a recurring problem lives in one person's head. AI [automation](https://learn.ynteractive.com/content/glossary/automation) writes the recap, logs the tasks, chases the late order and turns rough notes into a procedure, so you manage exceptions instead of chasing them. Start with [Run a Weekly Ops Review Where Every Task Has an Owner using ChatGPT](https://learn.ynteractive.com/content/chatgpt-weekly-operations-meeting-recap), which turns a [meeting transcript](https://learn.ynteractive.com/content/glossary/meeting-transcript) into decisions, owners and dates in one chat.

## Why does the same operations problem keep coming back?

Because nobody wrote down who does what by when. The weekly review raises the same late delivery and the same backlog every week, and each time the meeting ends with good intentions and no owner. Add a busy inbox of vendor updates, a shared spreadsheet of [purchase orders](https://learn.ynteractive.com/content/glossary/purchase-order) and requests that arrive by text or a shout across the floor, and things fall through.

AI does not fix a broken process, but it is very good at the paperwork around one. It can pull [action items](https://learn.ynteractive.com/content/glossary/action-items) out of a transcript, write the same polite chase for every late order, and sort incoming requests by priority. Your job moves from typing those things to checking them.

## Which operations workflows should you automate first?

Pick the one that keeps surfacing in your weekly review. These five run from a single chat to a request form with an AI backend.

### 1. How do you make every task from the weekly review stick?

Hand the [meeting transcript](https://learn.ynteractive.com/content/glossary/meeting-transcript) to ChatGPT and ask for a summary, the decisions, next steps with owners and dates, open questions and risks to watch. The important rule: any vendor date that is not in writing comes back marked Not confirmed, so a hopeful "next week" does not reach customers as a fact. Send the recap before lunch.

- **Tool fit:** ChatGPT or Claude for the recap. When you want the tasks in a tracker every week, n8n can read your meeting notes from a sheet, have AI pull out who agreed to do what by when, and add one row per task to an Action Items sheet.
- **Learn it:** [Run a Weekly Ops Review Where Every Task Has an Owner using ChatGPT](https://learn.ynteractive.com/content/chatgpt-weekly-operations-meeting-recap), then [n8n: Turn Meeting Notes into Action Items in a Google Sheet](https://learn.ynteractive.com/content/meeting-notes-to-action-items-google-sheets-ai-n8n).

### 2. Can you get one summary email at the end of every day?

Yes. A Make scenario runs every day at 5 PM, finds today's rows in Google Sheets, combines them with a Text aggregator and emails one summary with Gmail. It is the simplest way to see the day's activity without opening the sheet.

- **Tool fit:** Make, because the job is a straight line on a [schedule trigger](https://learn.ynteractive.com/content/glossary/schedule-trigger). n8n does the same with its own Schedule Trigger if your team already uses it.
- **Learn it:** [On a Schedule: A Daily Summary Email from a Sheet](https://learn.ynteractive.com/content/make-com-daily-summary-email-google-sheets-schedule).

### 3. How do you turn tribal knowledge into an SOP?

Paste your messy notes into ChatGPT and get a clean one-page [SOP](https://learn.ynteractive.com/content/glossary/sop) in a document you can edit beside the chat. Change one paragraph at a time and check what the AI added, because a confident extra step that nobody actually does is the most common mistake.

- **Tool fit:** ChatGPT, using the editable document view. Claude works the same way if your team uses it.
- **Learn it:** [ChatGPT: turn rough notes into a one-page SOP in an editable document](https://learn.ynteractive.com/content/chatgpt-rough-notes-to-sop-editable-document).

### 4. Can an AI agent chase late purchase orders for you?

It can write the chase and keep the log. You give an n8n AI agent a list of late or pending orders; it writes a polite, firm follow-up for each one and logs every follow-up with a due date in Google Sheets. The lesson's company, Ridgeline Supply Co., is made up. If you would rather track orders in an app than a sheet, SunSed builds a [purchase order](https://learn.ynteractive.com/content/glossary/purchase-order) tracker from a plain-words description, and the lesson adds made-up sample orders and filters to what is overdue.

- **Tool fit:** n8n with an AI Agent node for the follow-ups. SunSed if you want a simple PO tracker app without building one.
- **Learn it:** [Build an AI Vendor Follow-Up Agent in n8n](https://learn.ynteractive.com/content/ai-vendor-follow-up-agent-n8n) and [SunSed: Build a Purchase Order Tracker App by Describing It](https://learn.ynteractive.com/content/sunsed-build-purchase-order-tracker-app).

### 5. How do you handle maintenance and IT requests without the shouting?

Build an internal request form in Lovable and connect it to an n8n AI agent. Each request gets a priority and an assigned team, is saved to Google Sheets, and the person who sent it gets a confirmation email. That turns hallway requests into a log you can sort, which is the start of a real [work order](https://learn.ynteractive.com/content/glossary/work-order) process.

- **Tool fit:** Lovable for the form, n8n for the AI backend. A Make webhook scenario can catch the same form if you prefer Make.
- **Learn it:** [Build an AI Maintenance and IT Request Form](https://learn.ynteractive.com/content/ai-maintenance-it-request-form-lovable-n8n).

## Which tool fits each operations workflow?

| Workflow | Best fit | Free lesson |
| --- | --- | --- |
| Weekly review recap | ChatGPT or Claude | [Weekly ops review](https://learn.ynteractive.com/content/chatgpt-weekly-operations-meeting-recap) |
| Meeting notes to task rows | n8n with an AI step | [Meeting notes to action items](https://learn.ynteractive.com/content/meeting-notes-to-action-items-google-sheets-ai-n8n) |
| Daily summary email | Make on a schedule | [Daily summary](https://learn.ynteractive.com/content/make-com-daily-summary-email-google-sheets-schedule) |
| SOP from rough notes | ChatGPT | [One-page SOP](https://learn.ynteractive.com/content/chatgpt-rough-notes-to-sop-editable-document) |
| Vendor follow-ups | n8n AI agent, or SunSed for tracking | [Vendor follow-up agent](https://learn.ynteractive.com/content/ai-vendor-follow-up-agent-n8n) |
| Maintenance and IT requests | Lovable plus n8n | [Request form](https://learn.ynteractive.com/content/ai-maintenance-it-request-form-lovable-n8n) |

Here is the pattern: if you start it and read the result, use ChatGPT or Claude. If it should run on a schedule or when a form arrives, use Make or n8n. Make is quicker for a straight line; n8n is better once there is an agent, a branch or a log to keep.

## What should stay with a person in operations?

Anything that commits the business to a vendor or a customer. The vendor follow-up agent writes and logs messages; you decide which go out and whether to escalate. The weekly recap marks unconfirmed dates so you can check them before customers hear about them. And an AI-written SOP is a draft until the person who does the job reads it.

Watch what goes into the prompt as well. Vendor contracts, pricing and staff details can be confidential. Decide what is safe to paste, turn off model training, and use a work account. [Use AI at Work Without Leaking Client Data](https://learn.ynteractive.com/content/safe-ai-at-work-what-not-to-paste) walks through the settings, and [vendor management](https://learn.ynteractive.com/content/glossary/vendor-management) is a useful glossary entry if you are formalizing who owns each supplier.

## Key takeaways

- Start with the paperwork that makes follow-through fail: recaps, task logs, SOPs and vendor chases.
- Mark unconfirmed dates as Not confirmed so hopes do not become promises.
- Use ChatGPT for work you start, Make for simple schedules, and n8n for agents, branches and logs.
- The [AI for Operations Teams](https://learn.ynteractive.com/courses/ai-for-operations) course covers each workflow in a practice copy of the real tool.

## Frequently asked questions

**Do I need to replace our spreadsheets?**

No. Most of these workflows read from and write to Google Sheets. SunSed is there if you outgrow the sheet, not as a requirement.

**Is n8n or Make better for operations?**

Make for a simple scheduled job like the daily summary. n8n once you add an AI agent, a branch or a step that logs results, like the vendor follow-up agent.

**Which workflow should I start with?**

The weekly review recap. It uses one chat, fixes the owner-and-date gap right away, and feeds every other workflow on this page.

## Start with the first workflow, free

**Run a Weekly Ops Review Where Every Task Has an Owner using ChatGPT**. Turn a weekly operations and vendor review into the decisions, the next steps with owners and dates, the risks to watch and a team recap, without turning a vendor's "should" into a promise. You do every step yourself in a practice copy of ChatGPT, it checks your work as you go, and “Do it for me” finishes any step you get stuck on. Free, and nothing touches your real accounts.
