# AI Learning Path for Office Managers

The first two lessons need only ChatGPT. The last three use n8n, and the last one adds Lovable, so you can stop after any step and still have something useful.

## Which lesson should you take first?

You paste the thread into ChatGPT, then click **Paste facts** (the only things the reply may promise) and **Paste instructions** (tone, the three questions to answer, a word limit, no inventing). The first draft reads well but overstates the allergy answer. **Paste check** asks for a table of every claim and the fact behind it, and catches it. You fix that one line and send from Gmail.

After this lesson you have a routine for any reply where getting a detail wrong would cause a second problem.

### Step 3: Can you automate something without building it from scratch?

The **System Message** holds the facts (towns served, prices, booking hours) and the rules: it can only create drafts, and if it doesn't know something it says someone from the team will follow up. ### Step 5: Can staff requests stop arriving as hallway conversations?

## How fast should an office manager go?

## What should an office manager not hand to AI?

Don't let AI decide anything about a person or a promise. Keep it to drafts, recaps and sorting, and keep the decisions with people.

- **HR matters.** Time off, discipline, complaints between staff and anything about pay should be handled by a person. If AI helps draft a policy note, have an HR professional or employment attorney review it.
- **Private details.** Leave card numbers, account numbers, Social Security numbers and health details out of chats. Mask customer names when they aren't needed, and check your ChatGPT plan's data controls.
- **Sending without reading.** The inbox agent writes drafts for a reason. Don't switch it to send.
- **Meeting recaps nobody checked.** Owners and dates in a recap become commitments. Read them before the email goes out.
