[Smallpdf](https://learn.ynteractive.com/content/tool/smallpdf) has dozens of PDF tools in one menu: Compress, Convert, Organize, Edit, Fill & Sign, Protect, AI PDF and Scan. Most people use one or two and hunt for the rest when a job comes up, usually right before a deadline. This short module is the map. You see what each group does, which tool fits three everyday office jobs, and what Smallpdf itself says to check before you trust an AI answer or upload a client file. It is a free, five-minute module of explainer cards, the first module of the Smallpdf Jump Start. This is my own lesson, not an official Smallpdf course.

## AI PDF is a first read, not the last word

[AI PDF Summarizer](https://learn.ynteractive.com/content/glossary/ai-pdf-summarizer) gives the key points of a long file with clickable page references, and [Chat with PDF](https://learn.ynteractive.com/content/glossary/chat-with-pdf) answers your questions about it. Smallpdf itself says to review important sections in the original document when accuracy matters, so click the page reference and read the sentence.

## Signing yourself vs collecting signatures

Sign PDF adds your own signature, initials, date or check boxes. To collect other people’s signatures, Smallpdf points you to Request Signatures, which runs on Sign.com.

## Redact and protect are different jobs

[Redact](https://learn.ynteractive.com/content/glossary/redaction) PDF removes sensitive information from the file. Protect PDF adds a password, which only locks it. Check the redacted copy before you send it.

- For a long document, open AI PDF > Summarize, upload it, and read the summary.
- Ask Chat with PDF the questions that cost money, with page numbers.
- Click each page reference and read the sentence yourself.
- Before uploading a client file, check your firm’s rules on online tools.

## Step by step: Smallpdf for Beginners: Which Tool for Which PDF Job

All 11 steps of the interactive module, in order. In the module you watch each one, then do it yourself in a practice copy that checks your work.

### 1. What Smallpdf does

1. **Open the AI PDF card.** Click the **AI PDF** card.
   Start with the part most people come for. AI PDF. The summarizer gives you the key points of a long file, with page references you can click. Chat with PDF answers questions about it. Smallpdf itself says to check important sections in the original, so treat the answer as a pointer to the page.
2. **Open the Fill & Sign card.** Click the **Fill & Sign** card.
   Next, Fill and Sign. Sign PDF is for your own signature. You can draw it, type it or upload it, and add a date or a check box. To get other people to sign, Smallpdf sends you to Request Signatures, which runs on Sign dot com. Smallpdf says to check your local laws, so for a big contract, follow your firm's rules.
3. **Open the everyday tools card.** Click the **Compress, Convert, Organize** card.
   And the everyday jobs. Compress a file that is too big to email. Convert a PDF to Word or Excel and back. Merge, split or reorder pages. One habit. After a conversion, open the file and check the tables and numbers before you send it.

### 2. Which tool for which job

4. **Open the jobs sheet.** Click the **Which tool for which job** tab.
   Now let's match tools to real office jobs.
5. **Match the long proposal.** Click the **A 25-page proposal before a 2 PM meeting** card.
   A long vendor proposal and a meeting this afternoon. Use the summarizer for the shape of it, then ask Chat with PDF the questions that cost money, with page numbers. That's the next module in this course, on real Smallpdf screens.
6. **Match the scanned contract.** Click the **A scanned contract you cannot search** card.
   A scanned contract is just a picture of paper. PDF OCR turns it into text you can search. Then you can ask Chat with PDF about it. Check the names and numbers, because a scan can be misread.
7. **Match the file to share.** Click the **A client file with account numbers to send out** card.
   A client file with account numbers that has to go outside the firm. Redact PDF removes the sensitive parts. Protect PDF adds a password. They are different. A password only locks the file, so open the redacted copy and check it before it goes out.

### 3. Before you trust it

8. **Open the checks sheet.** Click the **Before you trust it** tab.
   Last tab. Three checks before you rely on it.
9. **Read the accuracy check.** Click the **Accuracy** card.
   Accuracy. Smallpdf says to review important sections in the original when it matters.
10. **Read the files check.** Click the **Your files** card.
    Your files. Smallpdf says uploads are encrypted, it is ISO 27001 certified, and files are deleted after one hour unless you save them to your account. Still follow your firm's rules on client data.
11. **Read the plan check.** Click the **Free or Pro** card.
    Free or Pro. Many tools work free, with usage limits, and Pro removes them. Limits change, so check Smallpdf's pricing page before you rely on the free plan for a big file. That's the whole map. Next, you'll do the proposal job for real.
