It can be safe, but only if two things are true: you use a ChatGPT account your company has approved for that data, and you delete the columns ChatGPT does not need, such as names, account numbers and pay, before you upload. A payroll export, a customer list or a raw sales export with personal details should never go into a personal account as is, and [Know What Never Goes into AI](https://learn.ynteractive.com/content/what-not-to-put-into-ai-data-classification) shows how to sort a file before it leaves your computer.

The good news is that most spreadsheet questions do not need the private columns at all. "Which month sold the most?" needs dates, categories and totals, not customer names.

## How do I decide whether a spreadsheet can go in?

Ask what level of data the file holds. A simple four-level sheet works for most offices:

| Level | Spreadsheet examples | AI rule |
| --- | --- | --- |
| Public | A price list already on your website | Fine in any tool |
| Internal | Staff rota, stock counts | Approved tools, training off |
| Confidential | Sales export with customer names, a client's payroll summary | Only after names and numbers become placeholders or are removed |
| Restricted | Social Security numbers, bank details, health information | Never goes in; remove by hand first |

If a file mixes levels, it takes the highest one. If you are unsure, treat it as one level higher.

## What should I do before I upload?

1. **Check which account you are in.** A company-managed ChatGPT Business or Enterprise workspace has different data terms from a personal account. If your company uses [Microsoft 365 Copilot](https://learn.ynteractive.com/content/glossary/microsoft-copilot) instead, use that for work files.
2. **Check the training setting.** On a personal plan, open Settings, then [Data controls](https://learn.ynteractive.com/content/glossary/chatgpt-data-controls), and turn off **Improve the model for everyone**.
3. **Make a copy of the file.** Never edit the original export.
4. **Delete the columns you do not need.** Names, emails, phone numbers, addresses, account numbers, pay rates. This is [data minimization](https://learn.ynteractive.com/content/glossary/data-minimization): send only what the question needs.
5. **Replace IDs you do need with codes.** "Customer 014" works as well as a name for spotting patterns.
6. **Upload, then ask it to check the file first.** Columns, row count, date range, blanks and duplicates, before any analysis.

## What does this look like in a real lesson?

In [Analyze a Spreadsheet](https://learn.ynteractive.com/content/chatgpt-analyze-spreadsheet-csv), Maple Hollow Garden Center uploads six months of sales as a [CSV](https://learn.ynteractive.com/content/glossary/csv). The first request is not "give me insights". It asks ChatGPT what each column means, the row count, the date range and any duplicates or blank cells. ChatGPT finds three orders listed twice and 12 rows with no channel, and you tell it how to clean them before you ask anything else. The lesson ends with a reminder to remove anything private your business rules say should not leave the building.

The settings side is covered in [ChatGPT Data Controls](https://learn.ynteractive.com/content/chatgpt-data-controls-protect-client-data). You play Priya, office manager at a six-person bookkeeping firm where someone pasted a payroll export last week. You turn off model training, check shared links, turn off memory for shared logins, try Temporary Chat for sensitive work, and copy a one-page team policy.

## What mistakes do people make with spreadsheets?

- **Uploading the whole export** when the question needs four columns.
- **Hiding columns instead of deleting them.** Hidden columns are still in the file.
- **Forgetting other tabs.** A workbook can carry a second sheet with the raw data.
- **Using a personal login for company files** because it was already open.
- **Trusting the totals.** Check one or two numbers against your own records before you act on them.

For client data more broadly, see [Is it safe to paste client data into ChatGPT?](https://learn.ynteractive.com/content/blog/is-it-safe-to-paste-client-data-into-chatgpt). The three everyday habits are practiced in [Use AI at Work Without Leaking Client Data](https://learn.ynteractive.com/content/safe-ai-at-work-what-not-to-paste).

## Key takeaways

- Use an approved work account for company files, not a personal one.
- Delete private columns on a copy before you upload.
- Never upload Restricted data like Social Security or bank numbers.
- Ask ChatGPT to check the file before it analyzes it.
- Check a total or two yourself before you act.

## Frequently asked questions

**Is ChatGPT Business safe for company spreadsheets?**

OpenAI says it does not train on business workspace data by default, which makes it a much better place than a personal account. Your company's own rules still decide which files are allowed.

**Does Temporary Chat make uploading safe?**

It helps, because the chat is not saved to your history or used to train models, but the file is still sent to OpenAI. Remove private columns either way.

**Can I upload a payroll file if I remove the names?**

Only if your company's policy allows it. Pay rates and employee IDs can still identify people, so remove or code those too, or keep payroll out of AI entirely.
