Use a [document parser](https://learn.ynteractive.com/content/glossary/document-parsing) such as Docparser: make one parser per kind of document, let it set up a rule for each field you need (or add your own), upload the PDFs, check a few results against the originals, and download everything as one [CSV](https://learn.ynteractive.com/content/glossary/csv) or Excel file. Once it works, connect it to your spreadsheet or inbox so new PDFs flow in on their own. The free lesson [Docparser: Pull Invoice Data from PDFs into a Spreadsheet](https://learn.ynteractive.com/content/docparser-extract-invoice-data-pdf-to-spreadsheet) does this with three [vendor invoices](https://learn.ynteractive.com/content/glossary/accounts-payable).

This works for any repeating document, not only invoices: bank statements, purchase orders, delivery notes, forms. The key word is repeating. A parser shines when you have the same kind of PDF over and over and need the same fields from each.

## What are the steps?

1. **Pick one document type.** One parser for vendor invoices, another for bank statements.
2. **Start from a template if there is one.** Templates come with starter rules for common fields.
3. **Upload a few real samples,** ideally from different senders, so you see how layouts differ.
4. **Check each rule's result.** Open a field, read what it found, compare it to the PDF.
5. **Add what is missing.** If a field you need has no rule, add one. A name printed in the same spot on every page suits a fixed-position rule. A field that moves around suits AI extraction.
6. **Export.** Choose CSV or Excel, check the delimiter is a comma so columns split properly, and download.
7. **Automate it.** Send new results straight to Excel or Google Sheets with the parser's integrations, or use a workflow tool to bring PDFs in from your inbox.
8. **Keep checking a sample.** Spot-check totals every week, especially on scans.

## What does this look like in a real lesson?

In [the Docparser lesson](https://learn.ynteractive.com/content/docparser-extract-invoice-data-pdf-to-spreadsheet), Jordan runs the office at a made-up accounting firm and retypes about 120 vendor invoices a month. You click **Create Document Parser**, pick the **Invoices** template, and upload three made-up PDFs from a print shop, an office supply company and a cleaning company. The template makes eight rules, from Invoice Number to Totals. You open **Invoice Number** and see it found the cleaning company's number correctly, then **Totals**, which matches the invoice.

There is no rule for the vendor name, and Jordan needs it. You click **Add Parsing Rule**, pick **Text Fixed Position**, name it Vendor Name and draw a box around the name at the top of the invoice. Then you go to **Exports**, then **Downloads**, choose CSV, change the delimiter from Colon to Comma and download. The file has one row per line item, with the vendor, number, date and totals on each, and all three invoices match their PDFs. The download link stays the same, so next week one click gets fresh data.

## How do I make it fully automatic from email?

When PDFs arrive by email, an n8n workflow can do the whole trip. In [Invoices from Your Inbox to Google Sheets, with Approval](https://learn.ynteractive.com/content/invoice-inbox-to-google-sheets-approval-n8n), a Gmail trigger catches each invoice email, **Extract from File** turns the PDF into text, and an **Information Extractor** pulls the vendor, invoice number, dates and total without guessing. **Append row in sheet** logs every invoice, and an **If** step sends any invoice over 1,000 dollars to the owner as an approval email that pauses the workflow until she answers. The sheet can be opened in Excel or exported.

The extract invoice data with AI post covers invoices in depth, and [Docparser and Make: invoices to Google Sheets](https://learn.ynteractive.com/content/blog/docparser-make-invoices-to-google-sheets) shows another way to connect the parser.

## What about scanned PDFs?

A scan is a picture, so the tool runs OCR first to find the letters, and numbers are where OCR slips. [How AI Reads a PDF](https://learn.ynteractive.com/content/how-ocr-and-document-parsing-work) shows a digital invoice and a phone scan going through OCR, then rules versus AI extraction, and four checks before data counts: the math, duplicates, blanks and approval. A blank field is better than a guessed one. For tables in scans, see [which AI tool can pull tables out of a scanned PDF into Excel](https://learn.ynteractive.com/content/questions/pull-tables-from-scanned-pdf-to-excel).

## Which tools fit?

- **Docparser** for repeating documents, with rules you can see and adjust.
- **Airparser** extracts data from emails, PDFs and documents with no code and pushes it on by webhook, API or integrations.
- **n8n** for a workflow from inbox to sheet, with AI extraction and approval steps.

The [best AI document data extraction tools](https://learn.ynteractive.com/content/compare/best-ai-document-data-extraction-tools) comparison goes through more options, and [what software can read invoices from my email and put them in a spreadsheet](https://learn.ynteractive.com/content/questions/read-invoices-into-spreadsheet) focuses on invoices.

## What mistakes should I avoid?

- **Trusting it without a check.** Compare a few rows to the PDFs before you rely on it, and keep spot-checking.
- **One parser for every document type.** Mixed layouts confuse the rules.
- **Ignoring the delimiter.** A colon-separated file opens in one column.
- **Letting extracted totals go straight to payment.** Keep a person approving payments.
- **Forgetting duplicates.** The same invoice can arrive twice. Check invoice numbers.

## Key takeaways

- Use a parser for repeating PDFs: one parser per document type.
- Check each field's result against the PDF, and add rules for missing fields.
- Export CSV with a comma delimiter, or connect the parser to your sheet.
- Scans need OCR, so check numbers more closely.
- A person approves anything that leads to a payment.

## Frequently asked questions

**Can ChatGPT extract data from PDFs into Excel?**

For a few files, yes: upload them and ask for a table you can download. For the same task every week, a parser or a workflow is more consistent and keeps a record.

**Does it work with PDFs that all look different?**

AI extraction handles varied layouts better than fixed rules. Check more samples when layouts vary.

**Can I try it before paying?**

Docparser offers a free trial, and the lesson's three sample invoices can be downloaded to test it. Airparser lists a free trial with credits.
