Start by finding where your hours actually go for one week, then hand AI the two or three repeat jobs that take the most time: catching requests that arrive everywhere, writing the "how we do this" documents nobody has time for, and turning calls with vendors into checklists. For the first one, getting scattered tasks into one place and onto the calendar, try [Routine: Plan Your Week from One Inbox](https://learn.ynteractive.com/content/routine-plan-your-week-from-one-inbox), a free 8-minute lesson.

Office managers rarely have one big task to automate. They have fifty small ones: the supply order, the visitor badge, the printer vendor, the new hire's desk, the holiday party, the question someone asks three times a week. Picking AI uses by hours spent, not by what sounds impressive, is what makes the week shorter.

## How do I find the right tasks to hand off?

1. **Keep a rough log for five days.** Every task, where it came from (email, chat, someone at your desk) and about how long it took.
2. **Group them.** Most office weeks fall into five piles: requests and scheduling, vendors and facilities, people ([onboarding](https://learn.ynteractive.com/content/glossary/employee-onboarding), [offboarding](https://learn.ynteractive.com/content/glossary/employee-offboarding), events), documents and answers, and money ([invoices](https://learn.ynteractive.com/content/glossary/invoice), supplies, petty cash).
3. **Circle the repeats.** Anything you did three or more times, or explained more than once.
4. **Pick the top two by hours.** Those are your first AI jobs.
5. **Leave out the sensitive ones** for now: anything with staff personal details, door codes, alarm codes or bank information.

## Which AI uses save an office manager the most time?

- **One task inbox.** Capture requests in plain words as they arrive and clear the list daily, instead of hunting through email on Monday.
- **SOPs from your notes.** Paste your messy notes on how the front desk, mail or supply ordering works, and get a one-page procedure the next person can follow.
- **Vendor and planning calls into checklists.** Turn a call transcript into decisions, an owner and a date for each item, and a recap email.
- **Answers people keep asking.** A short FAQ document (Wi-Fi, parking, printer, booking rooms) that AI helps you write and keep current.
- **Small tools.** A shareable calculator or checklist built by describing it, such as a supply reorder sheet or a room booking guide.
- **Faster email.** Drafts for the routine replies, which you read before sending.

## What does this look like in a real lesson?

The Routine lesson follows an engagement manager at a small consulting firm whose tasks arrive by email, Slack and meeting notes, so Monday starts with an hour of hunting. The same loop fits an office manager. You open the Console with a keyboard shortcut and type tasks in plain words: one with "Thursday at 3pm" becomes scheduled, one with no date lands in the Inbox. Then you process the Inbox to zero: tick off a two-minute task, discard an irrelevant invite, schedule one task for Tuesday and postpone an idea until next month. On the Calendar you drag the task that slipped last month onto Wednesday. Last, you ask the AI assistant "Do I have any conflicts on Thursday?", and when you ask it to move a meeting, it shows an approval card you confirm before anything changes.

Other lessons cover the remaining piles. [Turn rough notes into a one-page SOP](https://learn.ynteractive.com/content/chatgpt-rough-notes-to-sop-editable-document) has you turn front desk notes into an editable SOP and catch wording ChatGPT added on its own. [Turn an Office Move Call into a Checklist](https://learn.ynteractive.com/content/office-move-planning-recap) turns a planning call with the building manager and IT vendor into an action table and recap email. [Build a price calculator you can share](https://learn.ynteractive.com/content/claude-artifacts-tutorial) shows how Claude builds a small working tool you can test and share with a link.

## What mistakes should I avoid?

- **Starting with the fun task instead of the long one.** An event theme generator saves less time than a clean task list.
- **Pasting door codes, alarm codes or staff details** into a chatbot. Use placeholders.
- **Trusting AI with vendor bank changes.** A "new bank details" email is a classic scam. Call the vendor on a number you already have.
- **Publishing an SOP nobody checked.** Have the person who does the task read it first.
- **Letting AI move meetings without approval.** Keep tools that ask before they act on your calendar.

## Key takeaways

- Log one week, group the tasks, and pick the top two by hours.
- Capture tasks in one place and clear the inbox daily.
- Turn notes and calls into SOPs and checklists, then have someone check them.
- Keep codes, staff details and bank changes out of AI.

## Frequently asked questions

**Which AI tool should an office manager start with?**

The chat assistant your company already approves, usually ChatGPT, Claude, Gemini or Copilot, covers most writing tasks. Add a task app like Routine if requests reaching you from everywhere is your biggest problem.

**Can AI order office supplies for me?**

Some tools can place orders, but start by having AI keep the reorder list and draft the order. You place it, so nothing gets bought twice or charged to the wrong card.

**How do I know AI is actually saving time?**

Compare your task log before and after for the jobs you handed off. If a job still takes as long because you rewrite every draft, improve the prompt or pick a different task.
