Executive assistants use AI to compress the parts of the day that are reading and writing: summarizing long threads so the executive knows what they owe and by when, labeling the inbox automatically, drafting replies in the executive's voice, spotting calendar conflicts and preparing one-page briefs before meetings. The EA still decides what reaches the executive and checks every name, date and promise; the core routine is in [Gemini in Gmail: Summarize a Thread and Draft the Reply](https://learn.ynteractive.com/content/gemini-in-gmail-summarize-and-reply).

An EA's value is judgment about priorities and people, and AI does not have that. What it does have is speed with text. An executive's inbox and calendar are mostly text, so the EA who uses AI well spends less time reading and more time deciding.

## How does an AI-assisted EA day run?

**7:30, the overnight sweep.** Filters have already labeled board mail, investor mail, direct reports and newsletters. Summarize the three longest threads and ask, for each, "what does she still need to do, and by when?"

**8:15, the morning brief.** A short note for the executive: today's meetings with one line of context each, the three replies only they can send, and decisions due this week.

**9:00 to noon, inbox and calendar.** Draft routine replies with Help me write in Gmail or Copilot in Outlook, then fix the details in your own words. Ask the assistant in your calendar or task tool about conflicts before accepting invites.

**Before each meeting, the brief.** Paste the thread, the agenda and last meeting's notes and ask for a one-page brief: who is attending, what they want, open items, what the executive should ask for.

**After meetings, the follow-up.** Turn notes into [action items](https://learn.ynteractive.com/content/glossary/action-items) with owners and dates and draft the [follow-up email](https://learn.ynteractive.com/content/glossary/follow-up-email) for the executive to approve.

**5:00, the handoff.** A list of what moved, what is waiting on others and what needs the executive tomorrow.

## What does this look like in a real lesson?

In the [Gemini](https://learn.ynteractive.com/content/glossary/gemini) in Gmail lesson you run a small cleaning company's inbox. You open a six-message thread about an October cleaning schedule and a carpet quote, click Summarize this email and read the AI Overview. Then you open the Gemini side panel and ask, "What does Dana still need from me, and by when?" You reply with Help me write, add two details it could not know (a walkthrough on Monday, October 6, and that the crew will be out before the alarm arms at 9 PM), click Polish, use Undo and Redo to compare versions, and check the names, dates and price against the thread before you send.

[Gmail Filters, Labels and AI Drafts With a Human Check](https://learn.ynteractive.com/content/gmail-filters-labels-ai-draft-replies) adds the sorting: a filter labels every quote request as it arrives, including three already waiting, and you catch a price Help me write made up before sending. [Routine: Plan Your Week from One Inbox](https://learn.ynteractive.com/content/routine-plan-your-week-from-one-inbox) shows a calendar assistant that finds a Thursday clash and asks for approval before moving a meeting.

## What risks are specific to EA work?

- **Delegate access.** You may see email and calendars the executive's own team cannot. Only connect AI tools your company approved for that level of access.
- **Confidential topics.** Board matters, deals, legal issues and personnel decisions often pass through an EA's inbox. Keep them out of tools that are not approved for them.
- **Impersonation.** Fake requests that look like they come from the executive, by email or by an AI-cloned voice, are a known fraud pattern, especially for urgent payments or gift cards. [Stop a Fake Vendor Bank-Change Request Before You Pay](https://learn.ynteractive.com/content/stop-a-fake-vendor-bank-change-request-before-you-pay) teaches the call-back rule.
- **Hidden instructions in email.** If an AI assistant reads incoming mail, a message can try to tell it what to do. Approve any action before it runs.
- **Speaking for the executive.** Never let a draft accept, decline or commit on their behalf without their say.

## Which tools do EAs use?

- **Gmail with Gemini** for thread summaries, a side panel for questions and Help me write for replies.
- **Microsoft 365 Copilot** in Outlook and Teams for the same jobs on Microsoft.
- **Superhuman** for fast email with AI replies in your voice and follow-up reminders.
- **Routine** for one inbox of tasks, a calendar and an AI assistant that checks conflicts.

## Key takeaways

- Use AI for reading and writing: summaries, briefs, drafts, follow-ups.
- Filters sort first, AI drafts second, you check and decide.
- Keep confidential executive topics in approved tools only.
- Verify any urgent money or access request through a channel you already trust.

## Frequently asked questions

**Can AI write emails in my executive's voice?**

Yes, if you give it several real emails they wrote as examples and then edit the draft. Only send without their review for routine messages they have agreed you can handle.

**Should an EA let AI accept meeting invites?**

Not automatically. Let AI flag conflicts and suggest times, and keep the accept or decline with you or the executive, since priorities change daily.

**Is it safe to use Gemini or Copilot on an executive's inbox?**

It is usually safer than copying mail into a separate chatbot, because the data stays in your company's account. Follow your company's rules for delegate access and keep the most sensitive topics out unless they are approved.
