Don't pitch "AI"; pitch one specific, low-risk task, a short trial with a clear end date, data rules already written down and a demo you ran yourself on real (but safe) work. A quick way to build that demo is [Choose the AI Assistant Your Team Should Use](https://learn.ynteractive.com/content/chatgpt-vs-claude-vs-gemini-vs-copilot-same-task), where you test the same office task in ChatGPT, [Claude](https://learn.ynteractive.com/content/glossary/claude), [Gemini](https://learn.ynteractive.com/content/glossary/gemini) and Copilot and score each one on the facts.

Most managers who say no are not against AI. They are worried about client data, mistakes going out under the company's name and paying for something nobody uses. A good pitch answers those three worries before they are raised.

## What does my boss actually need to hear?

| Their worry | What you bring |
| --- | --- |
| "Our client data will leak." | A one-page rule on what never goes in, and an approved account with training off |
| "It will make mistakes." | A rule that a person checks every output before it leaves the team |
| "It's a waste of money." | A trial on a tool you already pay for, or a free plan, with no client data |
| "Nobody will use it." | One named task, a small group and a date to review results |
| "Which tool?" | A side-by-side test on your own task |

## How do I build the pitch, step by step?

1. **Pick one task.** Choose something frequent, internal and easy to check: meeting recaps, first drafts of internal emails, turning notes into a table. Avoid anything that goes straight to a client.
2. **Run it yourself first**, using made-up or public details. Save the before and after.
3. **Test the tools fairly.** Give the same task to two or more assistants and check each answer on the facts.
4. **Check what you already pay for.** If your company has Microsoft 365, Copilot may already be available. If you use Google Workspace, look at Gemini.
5. **Write the data rules.** One page: approved tool, what never goes in, who checks, who to ask.
6. **Propose a short trial**: a few people, one task, a review date, and a simple yes or no at the end.
7. **Offer to run it.** Managers say yes more easily when someone owns the follow-up.

## What does a fair tool test look like?

In [Choose the AI Assistant Your Team Should Use](https://learn.ynteractive.com/content/chatgpt-vs-claude-vs-gemini-vs-copilot-same-task) you are Carla, office manager at Ridgeline Insurance Agency. You paste the same task into ChatGPT, Claude, Gemini and [Microsoft Copilot](https://learn.ynteractive.com/content/glossary/microsoft-copilot): a client reminder email and a table of the week's tasks. Claude adds a tip about finding the VIN that you did not ask for. Gemini puts a job title and phone number under the signature. Copilot writes the shortest email. You ask one for an even shorter version, then score every answer on a scorecard: the date, the VIN request, the phone number and the five rows.

All four do the job. Carla chooses Copilot Chat because the agency already pays for Microsoft 365. That is exactly the kind of reasoning a boss wants to hear: tested, checked and cheap to start. ## How do I show the data rules are handled?

Bring the policy, not a promise. [Roll Out a Team AI Policy in One Afternoon](https://learn.ynteractive.com/content/ai-acceptable-use-policy-claude) shows how: you decide the rules and Claude writes them up as a one-page policy, then you check the never-paste list, the rule that a person checks every output and the no-blame rule for reporting mistakes. It finishes with an announcement email and a short quiz. Pair it with [Use AI at Work Without Leaking Client Data](https://learn.ynteractive.com/content/safe-ai-at-work-what-not-to-paste) as the training everyone does before the trial starts.

If your boss asks how the team will learn, [AI training for employees](https://learn.ynteractive.com/content/blog/ai-training-for-employees) has a plan you can share.

## What mistakes make a boss say no?

- **Pitching the whole department at once.** Start with one task and a few people.
- **Leading with hype.** Talk about a specific task and a specific check, not the future of work.
- **Showing a demo with real client data.** It proves the opposite of what you want.
- **No owner and no end date.** An open-ended "let's try AI" is easy to refuse.
- **Promising time savings you have not measured.** Show the before and after instead.

## Key takeaways

- Pitch one low-risk, internal task, not "AI" in general.
- Bring written data rules and a human-check rule.
- Test two or more assistants on your own task and score the facts.
- Start with a tool you already pay for, with a short trial and a review date.

## Frequently asked questions

**What if my company already blocks ChatGPT?**

Ask whether an approved tool exists, such as Copilot inside Microsoft 365. The block is often about personal accounts, not AI itself.

**Who should be in the trial?**

Two to five people who do the chosen task often and are willing to note what worked. Mix one enthusiast with one skeptic for an honest review.

**What if my boss still says no?**

Ask what would need to be true for a yes, and come back when it is. Meanwhile, learn the skills on your own time with made-up data.
