Yes, AI can answer most handbook and general benefits questions accurately, but only when it is limited to your own documents, names the section it used, and says "I can't find that, please ask HR" instead of guessing. You can build exactly that kind of agent, and test the question it should refuse, in [Answer Employee Policy Questions Instantly using Airia](https://learn.ynteractive.com/content/airia-hr-policy-agent-employee-handbook-questions).

The wrong answers come from two places. A general [chatbot](https://learn.ynteractive.com/content/glossary/chatbot) fills gaps with what is typical at other companies, not what your policy says. And even a well-built bot gets into trouble when a question is really about one person's situation, such as "am I eligible for FMLA?" or "will my surgery be covered?". The fix for the first is grounding. The fix for the second is a clear handoff.

## Which questions can a bot answer, and which go to a person?

**Safe for a bot**, when the answer is written in your handbook or benefits guide:

- How many vacation days new staff get, and how they accrue
- When benefits start after the hire date
- Who approves time off and how to request it
- The holiday calendar, dress code, expense rules and remote work policy
- Where to find a form, and the open enrollment dates

**Always a person**, even if the bot could find related text:

- Eligibility for a specific person: FMLA, state leave, short-term disability
- Anything medical, an accommodation request or a pregnancy-related question
- Whether a particular claim, drug or procedure is covered by the health plan
- Pay disputes, final pay, complaints, harassment or anything that sounds like a grievance
- Questions about another employee

For benefits, keep one more rule in mind: your plan documents, such as the Summary Plan Description, govern what the plan actually covers. A bot summary of the handbook is not the plan, so the bot should point people to the plan document or the carrier for coverage details.

## How do I keep the answers accurate?

1. **Give it one source of truth.** Upload the current handbook and benefits summary, nothing else. Old versions in the same folder are how outdated answers creep in.
2. **Tell it to answer only from those files** and to name the section for every answer, so an employee can check it.
3. **Write the fallback answer** word for word: what it says when the files are silent, and who to contact.
4. **Test the hard questions before launch**: one it should answer, one not in the handbook, one asking for advice, one trying to get around the rules, one asking for a person.
5. **Read the logs every week** and fix the source document, not just the answer.
6. **Re-upload the handbook every time it changes.** The agent is only as current as its file.

## What does this look like in a real lesson?

In the Airia lesson you are Maya, the HR manager at a 60-person company, tired of typing out the same vacation and benefits answers. You add the [employee handbook](https://learn.ynteractive.com/content/glossary/employee-handbook) as a data source, build an HR Policy Agent with instructions that say who it is, where to look and what to do when it does not know, and switch on Use Data Sources. In the Playground you ask how many vacation days a first-year employee gets, and the agent answers and names the handbook section it used. Then you ask whether the company pays for gym memberships. That is not in the handbook, and a good agent says so instead of inventing a perk. Only after both tests pass do you publish it to the team.

If you prefer to build it yourself, [Answer Staff Questions from Your Own Docs using n8n + Pinecone](https://learn.ynteractive.com/content/n8n-ai-agent-pinecone-rag-chatbot) does the same with a handbook search tool: it cites page 6 for one answer, page 9 for another, and says "I don't know" when asked about bonuses. [When a Support Bot Should Say "I Don't Know"](https://learn.ynteractive.com/content/ai-support-bot-guardrails-and-human-handoff) covers the [guardrails](https://learn.ynteractive.com/content/glossary/guardrails) and the four parts of a good handoff.

## What mistakes should I avoid?

- **Using a general chatbot with no documents.** It will answer confidently from what other employers do.
- **Letting it interpret, not just quote.** "You probably qualify" is a decision. "The policy says X, HR can confirm your situation" is an answer.
- **No way to reach a person.** If the bot is the only door, employees with urgent or sensitive questions get stuck.
- **Not telling staff it is AI.** Say clearly that it is an assistant that answers from the handbook and can be wrong.
- **Forgetting state differences.** If you have staff in several states, leave and pay rules differ. Say which rules each section covers, or route those questions to HR.

## Key takeaways

- Ground the bot in your current handbook and benefits guide only.
- Make it cite the section and admit when it cannot find an answer.
- Send eligibility, medical, coverage and complaint questions to a person every time.
- Test the hard questions before launch and read the logs every week.

## Frequently asked questions

**Will employees trust answers from an HR bot?**

They trust it more when every answer names the handbook section and when it plainly hands off what it cannot answer. Start with a small group and fix the answers they flag before you roll it out to everyone.

**Can the bot see employees' personal records?**

Only if you connect them, and for a first handbook bot you should not. Keep it to policy documents so it cannot reveal anyone's pay, leave or medical details.

**What happens when the handbook changes?**

Replace the file the agent reads and test a few answers that changed. Agents do not update themselves, so a stale file means stale answers.
