For a defined set of files, such as one client's contracts or a policy binder, use [Gemini](https://learn.ynteractive.com/content/glossary/gemini) Notebook (formerly [NotebookLM](https://learn.ynteractive.com/content/glossary/notebooklm)): it answers only from the sources you add and puts a citation on every fact. When the documents number in the hundreds and live across Google Drive, Slack, [Notion](https://learn.ynteractive.com/content/glossary/notion) and other apps, pick a tool that connects to those apps and keeps them in sync, such as Dust or Onyx. You can try the first route in [Gemini Notebook: cited answers and a briefing from your docs](https://learn.ynteractive.com/content/notebooklm-gemini-notebook-cited-answers-briefing-doc).

The reason scale changes the answer is simple. A chat project in ChatGPT or Claude holds a limited number of uploaded files (ChatGPT Projects allow 5 files on Free and up to 40 on Pro and business plans), and you have to re-upload when a file changes. Tools built for company knowledge search the documents where they already live and only bring back the passages that match each question. That method is called retrieval.

## What are my options, and what decides between them?

- **Gemini Notebook.** Add PDFs, Google Docs, Slides, websites and more to a notebook, then ask questions and click each citation to see the passage. Files from Drive stay in sync. Deciding factor: a focused set of documents for one project or team.
- **ChatGPT or Claude projects.** Upload files once and reuse them in every chat. Deciding factor: a handful of reference files, such as a price list and a style guide, not a whole archive.
- **Dust.** A platform for building AI agents on company data, with connectors to Slack, Notion, Google Drive, Salesforce and more. Admins choose what syncs, and people see only what they can already open in the source app. Deciding factor: many teams, many apps, and agents people call from Slack.
- **Onyx.** An open-source AI search and chat tool that connects to 40 or more work apps and keeps syncing in the background. You can self-host it or use its cloud. Its docs say permission sync is a paid feature. Deciding factor: you want search across everything and control over hosting.
- **Build your own with n8n and Pinecone.** A workflow loads your documents into a vector database, and a chat agent searches it before every answer. Deciding factor: you need a custom bot, such as an internal helpdesk, and someone comfortable with workflows.

The [Projects vs Gems vs NotebookLM comparison](https://learn.ynteractive.com/content/compare/chatgpt-projects-vs-gemini-gems-vs-notebooklm) goes deeper on the first two.

## How do I choose for my company?

1. **Count the documents and where they live.** Twenty files in one folder is a notebook. Thousands across five apps is a connector tool.
2. **Check permissions.** Staff must not get answers from files they cannot open, such as HR or salary records.
3. **Test with ten real questions,** including two the documents do not answer.
4. **Check citations** on every test answer.
5. **Assign an owner** who keeps the documents current. Old files give old answers.

## What does this look like in a real lesson?

In [the Gemini Notebook lesson](https://learn.ynteractive.com/content/notebooklm-gemini-notebook-cited-answers-briefing-doc) you help the owner of a cleaning company prepare for a new dental office client. You create a notebook, upload the client's cleaning agreement as a PDF, add the crew handbook from Google Drive and the services web page as a link. You ask what the contract requires, click the first citation and see the passage highlighted in the contract, save the answer to a note, then generate a Briefing Doc for the crew lead.

For the build-your-own route, [Answer Staff Questions from Your Own Docs](https://learn.ynteractive.com/content/n8n-ai-agent-pinecone-rag-chatbot) has a chat agent search a handbook in Pinecone, answer from page 6 and page 9 with citations, and say "I don't know" about bonuses because the handbook does not cover them. The short explainer [How AI Answers from Your Documents](https://learn.ynteractive.com/content/how-ai-answers-from-your-documents) shows the chunks, the search and the fallback in plain diagrams.

## What mistakes should I avoid?

- **Uploading everything to one chat.** You hit file limits, and answers get vaguer.
- **Ignoring permissions.** A search tool that ignores access rights can leak HR or client files.
- **Never testing a question the files cannot answer.** A good setup says "I don't know".
- **Letting documents go stale.** Retrieval only finds what is there.

## Key takeaways

- A notebook fits a focused set of files with cited answers.
- Hundreds of documents across apps need a connector tool like Dust or Onyx.
- Check permissions before anyone else uses it.
- Test with questions the documents cannot answer.

## Frequently asked questions

**Is this the same as training an AI on my documents?**

No. These tools search your documents at question time and answer from what they find. Nothing is retrained. The [retrieval FAQ](https://learn.ynteractive.com/content/blog/ai-retrieval-rag-faq) explains the difference.

**Can ChatGPT search my company's Google Drive?**

ChatGPT and Claude can connect to some work apps when your plan and admin allow it. Check what your company has turned on. More in [can AI answer questions about your data](https://learn.ynteractive.com/content/blog/can-ai-answer-questions-about-your-data).

**How do I stop wrong answers?**

Tell the tool to answer only from the sources, show citations, and say when it does not know. Then fix the document, not the bot.
