To write a weekly status email to your manager with ChatGPT, paste your notes from the week into the prompt below and you get a five-part email: one-line headline, done this week, slipped or at risk, what you need from your manager, and next week's top three. A good weekly update saves your manager from asking and saves you a status meeting. A bad one is a list of everything you touched, where the one decision you need is in paragraph four.

This is for your own work. If you report a team's numbers to an owner, the [weekly team report prompt](https://learn.ynteractive.com/content/prompts/weekly-team-report-prompt) shows both weeks side by side. If you report on one project to a client, use the [project status update prompt](https://learn.ynteractive.com/content/prompts/project-status-update-prompt).

## The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every `[BLANK]` with your own details. It uses the four parts from [Prompt Writing 101](https://learn.ynteractive.com/content/prompt-writing-101-role-context-task-format): Role, Context, Task and Format.

Copy prompt

```text
Role: You are helping me, the [YOUR ROLE] at [BUSINESS], write my weekly status email to [MANAGER].
Context: Below are my notes from this week. Use only these. Keep numbers and dates exactly as written. If something slipped, say so plainly with the reason from my notes, and don't soften it. My manager cares most about [WHAT THEY CARE ABOUT].
Task: Write the email: a one-line headline for the week, Done (with numbers where my notes have them), Slipped or at risk (with the new date if I gave one), Need from you (each as a yes or no question or a choice), and Next week's top three.
Format: Subject line "Weekly status, week of [WEEK OF]". Under 200 words. Short bullets. No "busy week" openers. Put the Need from you section second if it has anything in it.
My notes:
[WEEK NOTES]
```

## Fill in the blanks

**`[YOUR ROLE]`**

Your job title.

**`[BUSINESS]`**

Your business name and what it does.

**`[MANAGER]`**

Your manager's first name or title.

**`[WHAT THEY CARE ABOUT]`**

What your manager asks about most, such as "unpaid invoices and client deadlines." It decides what goes in the headline.

**`[WEEK OF]`**

The Monday date of the week, such as October 13.

**`[WEEK NOTES]`**

Whatever you jotted down this week, or paste your end of day reports. Leave out client account details.

## Example, filled in

**A made-up example** from the free lesson [Get a Morning Invoice Summary in Slack using ChatGPT Dots](https://learn.ynteractive.com/content/chatgpt-dots-invoice-summary-slack). Harbor Lane Design Studio is the made-up studio in the ChatGPT dots lesson, where Maya Chen, the office manager, sets up a weekday invoice summary in Slack. Here she writes her own weekly status email to the studio's owner. The notes are an illustration.

Copy example

```text
Role: You are helping me, the office manager at Harbor Lane Design Studio, a small design studio, write my weekly status email to Theo, the owner.
Context: Below are my notes from this week. Use only these. Keep numbers and dates exactly as written. If something slipped, say so plainly with the reason from my notes, and don't soften it. My manager cares most about unpaid invoices and client deadlines.
Task: Write the email: a one-line headline for the week, Done (with numbers where my notes have them), Slipped or at risk (with the new date if I gave one), Need from you (each as a yes or no question or a choice), and Next week's top three.
Format: Subject line "Weekly status, week of October 13". Under 200 words. Short bullets. No "busy week" openers. Put the Need from you section second if it has anything in it.
My notes:
Invoice digest in Slack live since Tues, 11 invoices caught. 3 overdue, $4,200 total, reminders sent. New contractor agreement for Ana: waiting on Theo's signature. Office lease renewal quote came in 6% higher, need decision by Oct 31. Website photo shoot moved to Oct 22, photographer sick. Next: chase the 3 overdue, set up client folders, lease decision.
```

## What a good answer looks like

- A headline about the money: 3 overdue invoices worth $4,200, with reminders sent.
- Need from you placed second, with two clear asks: sign Ana's contractor agreement, and decide on the lease renewal by October 31.
- The photo shoot listed as slipped to October 22, with the reason stated plainly.
- Exactly three items under next week, taken from your notes.

## How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the [Reply Faster lesson](https://learn.ynteractive.com/content/chatgpt-reply-to-customer-emails): check every promise, name, date and number against what you gave it before anything goes out.

- Check every amount and date against your notes and your accounting tool.
- Make sure each ask can be answered in one reply. "Thoughts on the lease?" is not an ask.
- If the AI turned "6% higher" into a dollar figure, check it or remove it.
- Read the headline last. If your manager only read that line, would they know what matters?
