# Webinar follow-up email prompt: free ChatGPT template

> Write the follow-up emails after a webinar: one for attendees and one for people who registered but missed it, each with the replay link and one next step.

Use this within a day of a webinar, while the topic is still fresh. Attendees and no-shows need different emails: attendees want the recording, the slides and a next step, while no-shows need a short reason to watch the replay. This prompt writes both from the same details, with one call to action each, so you aren't asking people to do four things at once.

## The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every `[BLANK]` with your own details. It uses the four parts from [Prompt Writing 101](https://learn.ynteractive.com/content/prompt-writing-101-role-context-task-format): Role, Context, Task and Format.

Three or four takeaways from the session, from your own outline.

The real link to the recording. Add it yourself if you don't want to paste it into AI.

**`[NEXT STEP]`**

The single action you want, such as booking a call or downloading a guide.

**`[AUDIENCE]`**

Who registered, such as cafe owners or office managers.

## What a good answer looks like

- Email A recaps exactly the three brewing points, one line each.
- Email B is shorter and gives one honest reason to watch, with no pressure.
- Both emails contain one link to the replay and one ask: the free guide.
- No invented numbers such as "200 of you joined".

## How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the [Reply Faster lesson](https://learn.ynteractive.com/content/chatgpt-reply-to-customer-emails): check every promise, name, date and number against what you gave it before anything goes out.

- Click the replay link in your test email before sending. A dead link wastes the whole campaign.
- Confirm the segment: Email A to attendees only, Email B to registered non-attendees. Sending the wrong one is the usual mistake.
- Check the webinar title and speaker name against your registration page.
- Cut anything that implies more than you promised, like a "limited" offer with no real deadline.
