11 prompts · [Legal and insurance](https://learn.ynteractive.com/content/prompts/roles#legal-and-insurance) · Works in ChatGPT, Claude, Gemini and Copilot

Updated October 20, 2026 · By [Robert Breen](https://learn.ynteractive.com/content/about)

An independent agency lives on service: answering claim-status emails, explaining why a renewal went up, preparing annual reviews and chasing documents for quotes. Each message has to be accurate about coverage and careful not to promise what the carrier decides. That makes it slow to write by hand, and a good fit for AI drafts you check.

The prompts below never decide coverage. They explain what the policy or carrier documents you paste actually say, mark anything that needs the carrier's confirmation and keep promises out of the reply. You check the draft against the policy and send it.

Practice with a made-up agency in [Reply Faster to Claim-Status Emails](https://learn.ynteractive.com/content/chatgpt-reply-claim-status-emails-insurance-agency) and [Turn Every Policy Review into Clear Next Steps](https://learn.ynteractive.com/content/chatgpt-policy-review-meeting-recap-insurance-agency).

## How do you use these prompts?

Copy a prompt into ChatGPT, Claude, Gemini or Copilot and replace every [BLANK] with your own details. Where a prompt says PASTE, paste your notes, email or document there. Each prompt follows the four parts from [Prompt Writing 101](https://learn.ynteractive.com/content/prompt-writing-101-role-context-task-format): a Role, the Context, the Task and the Format you want back. Then check every name, date, number and promise in the answer before you use it.

## Claims

### 1. Reply to a claim-status email

Copy prompt

```text
You are an account manager at [AGENCY NAME]. A client wrote: "[CLIENT EMAIL]". What we know from the carrier: [CLAIM STATUS, ADJUSTER, LAST UPDATE]. What happens next: [NEXT STEPS].
Write a reply that gives the current status in plain words, names the next step and who takes it, and tells them how we will keep them updated. Do not promise payment, an amount or a decision date; the carrier decides those.
Format: under 160 words.
```

### 2. Request documents for a claim

Copy prompt

```text
Act as an agency claims assistant. For [CLIENT]'s [CLAIM TYPE] claim, the carrier needs: [DOCUMENTS]. Deadline from the carrier: [DATE OR "NOT GIVEN"]. How to send: [METHOD].
Write a short email listing each document with one line on what it is, the deadline and how to send it securely.
Format: a subject line, a numbered list and a two-line close.
```

### 3. Explain a claim denial letter in plain words

Copy prompt

```text
You are an agent helping a client understand a letter from their carrier. Here is the letter:
[PASTE LETTER]
Explain in plain English what the letter says, which policy section it cites and what options the letter itself mentions (such as an appeal process and deadline). Do not say whether the decision is right. End with what we will do next: [YOUR NEXT STEP].
Format: under 220 words, short paragraphs.
```

## Renewals and billing

### 4. Explain a renewal premium increase

Copy prompt

```text
You are an agent at [AGENCY NAME]. [CLIENT]'s [POLICY TYPE] renewal premium went from [OLD PREMIUM] to [NEW PREMIUM]. Reasons from the carrier or our review: [REASONS]. Options we can offer: [OPTIONS, SUCH AS A HIGHER DEDUCTIBLE OR REMARKETING].
Write an email that states the change, explains the reasons I gave in plain words, lists the options with any trade-off and asks for a decision by [DATE]. Do not guess at reasons that are not listed.
Format: under 200 words.
```

### 5. Write a renewal reminder

Copy prompt

```text
Act as an agency service rep. [CLIENT]'s [POLICY TYPE] policy renews on [DATE]. What we need from them: [UPDATES, SUCH AS NEW VEHICLES, PAYROLL OR PROPERTY CHANGES]. Meeting option: [LINK OR PHONE].
Write a short, friendly reminder that asks them to confirm or update the details we need and offers a quick review call.
Format: under 130 words.
```

## Coverage and reviews

### 6. Prepare an annual coverage review

Copy prompt

```text
You are preparing [CLIENT]'s annual review. Current policies and limits: [PASTE SUMMARY]. Changes in their life or business this year: [CHANGES].
List the questions to ask in the review, the coverage areas worth discussing given the changes (as questions, not recommendations), and the documents to bring. Do not state that any coverage is missing; frame everything as something to review together.
Format: three headed lists.
```

### 7. Recap a policy review meeting

Copy prompt

```text
Act as an agent. Here are my notes from today's review with [CLIENT]:
[PASTE NOTES]
Write a recap email: what we reviewed, any changes they asked for, quotes we will get, documents they will send, and next steps with dates as stated (or "To confirm"). Note clearly that requested changes are not in effect until confirmed by the carrier.
Format: under 220 words with an action list.
```

### 8. Explain a coverage term to a client

Copy prompt

```text
You are an agent at [AGENCY NAME]. A client asked what "[TERM, SUCH AS DEDUCTIBLE OR ACTUAL CASH VALUE]" means on their policy. Here is the relevant policy wording:
[PASTE POLICY WORDING]
Explain the term in plain English with a simple made-up example using round numbers, then point to the exact section of their policy. Say that their policy wording is what applies.
Format: under 170 words.
```

## Quotes and new business

### 9. Compare quotes for a client

Copy prompt

```text
You are an agent comparing [NUMBER] quotes for [CLIENT]'s [COVERAGE TYPE]:
[PASTE CARRIER, PREMIUM, LIMITS, DEDUCTIBLES, KEY EXCLUSIONS OR ENDORSEMENTS]
Build a side-by-side comparison of price, limits, deductibles and notable differences in coverage, using only these quotes. Point out where a lower price comes with less coverage. Do not recommend a carrier; end with questions the client should think about.
Format: a comparison table, then Differences to discuss and Questions.
```

### 10. Ask for loss runs and underwriting details

Copy prompt

```text
Act as a commercial lines account manager. To quote [CLIENT]'s [COVERAGE], we need: [LOSS RUNS FOR YEARS, APPLICATIONS, SCHEDULES]. Deadline: [DATE].
Write two emails: one to the client explaining what we need and why, and one to the current carrier or agent requesting loss runs, with the client's authorization attached: [AUTHORIZATION REFERENCE].
Format: two labeled emails, each under 140 words.
```

### 11. Respond to a certificate of insurance request

Copy prompt

```text
You are an agency service rep. [CLIENT] asked for a certificate of insurance for [CERTIFICATE HOLDER] with these requirements: [REQUIREMENTS]. Their current coverage: [COVERAGE SUMMARY].
List which requirements the current coverage meets and which ones need underwriter or carrier review before a certificate can be issued. Draft a short reply to the client explaining the timing.
Format: a requirements table (Requirement, Status), then the reply under 100 words.
```

## How do you adapt these prompts to your own work?

- Paste the actual policy or carrier wording whenever coverage comes up. The assistant should explain your client's policy, not insurance in general.
- Remove policy numbers, driver's license numbers and other identifiers before pasting, unless your agency's approved tool allows them.
- Use the same habit in every reply: no promises about payment, amounts or carrier decisions. The [claim-status lesson](https://learn.ynteractive.com/content/chatgpt-reply-claim-status-emails-insurance-agency) practices it.

## Frequently asked questions

**Can insurance agents use AI to explain coverage?**

It can turn policy wording you paste into plain English. The policy wording is what governs, so check every explanation against it and avoid stating that something is or is not covered without carrier confirmation.

**Is it safe to put client policy details into ChatGPT?**

Follow your agency's rules and your plan's data settings. Remove identifiers you do not need and keep sensitive documents in approved tools only.
