12 prompts · [Finance and accounting](https://learn.ynteractive.com/content/prompts/roles#finance-and-accounting) · Works in ChatGPT, Claude, Gemini and Copilot

Most of an accountant's week is not the accounting. It is the email that explains why a refund is late, the memo that explains a variance, the checklist a client needs before tax season and the follow-up after a meeting. Those are writing jobs, and a good first draft from an AI assistant can turn a 20-minute email into a 5-minute review.

The prompts below are built for that review step. Each one tells the assistant to use only the figures and facts you paste in and to say "Not stated" instead of guessing, so you spend your time checking a draft rather than fixing invented numbers. You stay the professional who signs off: the AI never decides a tax position, and you check every figure before anything reaches a client.

To practice the same habits with a made-up firm and fake data, start with [Month-End Bank Reconciliation with ChatGPT](https://learn.ynteractive.com/content/chatgpt-bank-reconciliation-month-end) or [Analyze a Client's P&L Export](https://learn.ynteractive.com/content/chatgpt-analyze-client-pl-export-accounting).

## How do you use these prompts?

Copy a prompt into ChatGPT, Claude, Gemini or Copilot and replace every [BLANK] with your own details. Where a prompt says PASTE, paste your notes, email or document there. Each prompt follows the four parts from [Prompt Writing 101](https://learn.ynteractive.com/content/prompt-writing-101-role-context-task-format): a Role, the Context, the Task and the Format you want back. Then check every name, date, number and promise in the answer before you use it.

## Client emails

### 1. Explain a delayed refund without promising a date

Copy prompt

```text
You are a client service accountant at [FIRM NAME]. A client has emailed asking when their [TAX TYPE] refund will arrive. Here is what we know: [FACTS ABOUT THE RETURN, FILING DATE AND STATUS].
Write a reply that explains where the return stands, what usually affects timing and what the client can check on their own. Do not promise a date or an amount. If something the client would need to know is not in my facts, write "Not stated" in brackets so I can fill it in.
Format: under 150 words, plain English, a friendly but professional tone, and one clear next step at the end.
```

### 2. Ask a client for missing documents

Copy prompt

```text
Act as a staff accountant at [FIRM NAME] preparing [CLIENT NAME]'s [RETURN OR ENGAGEMENT]. We are still missing these items: [LIST OF MISSING DOCUMENTS].
Write a short email asking for them. Explain in one line each why we need it, give the deadline of [DEADLINE] and say how to send them securely using [UPLOAD METHOD]. Do not mention penalties unless I list them here: [PENALTIES IF ANY].
Format: a subject line, then a numbered list of the documents, then a two-sentence close.
```

### 3. Announce a fee increase

Copy prompt

```text
You are the managing partner of [FIRM NAME]. From [EFFECTIVE DATE] our fee for [SERVICE] changes from [OLD FEE] to [NEW FEE] because [HONEST REASON].
Draft a letter to existing clients that states the change in the first paragraph, gives the reason in plain words, says what stays the same and invites questions. Do not apologize more than once and do not add discounts I have not listed.
Format: under 200 words, three short paragraphs, signed by [NAME].
```

## Month-end and reconciliation

### 4. Sort reconciliation differences into a list

Copy prompt

```text
You are helping me reconcile [ACCOUNT NAME] for [MONTH]. Below are the bank lines and the ledger lines that did not match.
[PASTE UNMATCHED BANK LINES]
[PASTE UNMATCHED LEDGER LINES]
Group the differences into: timing items (outstanding checks or deposits in transit), likely errors (amounts or dates that look mistyped), and items that need a question to the client. Do not create any adjusting entries. For every line, show the amount and why you put it in that group.
Format: a table with the columns Group, Date, Description, Amount, Reason, then a one-line total for each group.
```

### 5. Write a reconciliation exceptions memo

Copy prompt

```text
Act as a senior accountant writing a memo for the file. Account: [ACCOUNT]. Period: [PERIOD]. Reconciled balance: [BALANCE]. The unresolved items are:
[PASTE EXCEPTIONS]
Write a memo that lists each exception, what we have done about it so far and who owns the next step. Use only the facts above. If an owner or a date is missing, write "Owner not stated" or "Date not stated".
Format: a heading, a two-sentence summary, then one bullet per exception.
```

### 6. Build a month-end close checklist

Copy prompt

```text
You are a controller at a [SIZE AND TYPE OF BUSINESS] that closes the books on [CLOSE DAY]. Our accounts include [MAIN ACCOUNTS AND SYSTEMS].
Draft a month-end close checklist in the order the work should happen. For each task, give a one-line description, who usually does it ([ROLES ON THE TEAM]) and what proves it is done. Mark any task that depends on another one.
Format: a numbered checklist grouped under Before close, Close day and After close.
```

## Analysis and commentary

### 7. Explain P&L changes for a business owner

Copy prompt

```text
You are an outsourced accountant explaining results to [CLIENT NAME], an owner who is not a finance person. Here is the profit and loss for [THIS PERIOD] and [COMPARISON PERIOD]:
[PASTE P&L]
Pick the three biggest changes in dollars, explain each in one plain sentence and suggest one question the owner should ask about it. Use only the figures above and show the dollar and percent change you calculated so I can check it.
Format: three numbered points, then a two-line summary of overall profit.
```

### 8. Draft budget variance commentary

Copy prompt

```text
Act as a financial accountant writing variance notes for [DEPARTMENT OR ENTITY], [PERIOD]. Budget and actual figures:
[PASTE BUDGET VS ACTUAL]
For every line that is more than [THRESHOLD] over or under budget, write one sentence on the variance. Where I have given a reason here, use it: [KNOWN REASONS]. Where I have not, write "Reason to confirm" instead of guessing.
Format: a table with Line, Budget, Actual, Variance, Comment.
```

### 9. Explain a journal entry in plain words

Copy prompt

```text
You are a senior accountant reviewing a junior's work. Here is a journal entry:
[PASTE ENTRY WITH ACCOUNTS AND AMOUNTS]
Explain in plain English what this entry does, which accounts go up or down and why the debits equal the credits. Then list any questions a reviewer should ask before approving it. Do not say whether it is correct under [ACCOUNTING FRAMEWORK] unless the reason is clear from the entry itself.
Format: a short paragraph, then a bulleted list of review questions.
```

## Engagements and meetings

### 10. Turn meeting notes into action items and a follow-up

Copy prompt

```text
You are an accountant at [FIRM NAME]. Here are my notes from a meeting with [CLIENT NAME] on [DATE]:
[PASTE NOTES OR TRANSCRIPT]
Pull out every decision and action item. For each action, name the owner and due date only if they are in the notes; otherwise write "Not stated". Then draft a short follow-up email to the client that confirms what they agreed to send us.
Format: an action items table (Action, Owner, Due), then the email under 120 words.
```

### 11. Outline an engagement letter scope

Copy prompt

```text
Act as an engagement partner. We are taking on [CLIENT NAME] for [SERVICES] starting [START DATE]. They will provide [CLIENT RESPONSIBILITIES]. We will not do [OUT OF SCOPE WORK].
Draft the scope section of an engagement letter in plain English: what we will do, what the client will do, what is out of scope and how changes are handled. Leave fees and legal terms as [PLACEHOLDERS] for our standard template, and flag anything a reviewer should confirm.
Format: four short headed sections, under 300 words in all.
```

### 12. Write a tax-season client checklist

Copy prompt

```text
You are preparing [CLIENT TYPE] clients (for example sole proprietors or rental owners) for tax season at [FIRM NAME]. Last year this client had [INCOME SOURCES AND LIFE CHANGES].
Create a checklist of documents and answers we need from them, grouped by income, deductions, life changes and questions. Keep the wording simple enough for someone who has never seen a tax form. Do not give tax advice or say what is deductible.
Format: a checklist with check boxes, under 250 words, and a one-line note at the top with our deadline of [DEADLINE].
```

## How do you adapt these prompts to your own work?

- Paste only what you are allowed to share. Remove names, account numbers and tax IDs, or use your firm's approved AI tool, and follow the [safe AI habits lesson](https://learn.ynteractive.com/content/safe-ai-at-work-what-not-to-paste).
- Save your firm's tone and fee rules once instead of pasting them every time. [A Claude Project for Your Accounting Firm](https://learn.ynteractive.com/content/claude-project-accounting-firm-fee-schedule) shows how.
- Add one real example of a past email or memo you liked under the prompt. The assistant copies its length and tone much better than it follows a description.
- Recalculate every figure the assistant shows you. Ask it to "show the math" so the check takes seconds.

## Frequently asked questions

**Can accountants use ChatGPT with client data?**

Only within your firm's policy and your plan's data settings. Many firms remove names, account numbers and tax IDs before pasting, or use a business plan that does not train on their data. The free [ChatGPT data controls lesson](https://learn.ynteractive.com/content/chatgpt-data-controls-protect-client-data) walks through the settings.

**Will these prompts give tax advice?**

No, and they are written not to. They draft emails, memos and checklists from the facts you give. Tax positions and anything you sign stay your professional judgment.

**Which AI assistant works best for these prompts?**

They are plain text, so they work in ChatGPT, Claude, Gemini and Copilot. Pick the one your firm has approved and check every figure in the answer.
