Use this right after a job you're proud of, while the customer still remembers the crew's names. It writes a short, personal thank-you that names the actual work and asks for an honest review with your link. The prompt also rules out three habits that can backfire: asking for "5 stars," offering a reward, and claiming it "only takes 30 seconds." Most review sites, Google included, don't allow rewards for reviews.

## The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every `[BLANK]` with your own details. It uses the four parts from [Prompt Writing 101](https://learn.ynteractive.com/content/prompt-writing-101-role-context-task-format): Role, Context, Task and Format.

Copy prompt

```text
Role: You are [YOUR NAME] at [BUSINESS], writing a personal thank-you to a customer whose job we just finished.
Context: Customer: [CUSTOMER]. The job: [JOB]. Our review link, copied exactly: [REVIEW LINK]. Ask for an honest review, not a 5-star one. Offer nothing in return, and don't say how long it takes.
Task: Write a short email that thanks them for this specific job, asks if they'd share an honest review using the link, and tells them to reply if anything about the work isn't right.
Format: Subject line first, under 8 words. Email under 100 words, plain text, the link on its own line, one ask. Sign with my name and business name.
```

## Fill in the blanks

**`[YOUR NAME]`**

The person they dealt with, or the owner.

**`[BUSINESS]`**

Your business name and what you do.

**`[CUSTOMER]`**

First name, plus anything personal worth a mention.

**`[JOB]`**

What you did and when, the way the customer would describe it.

**`[REVIEW LINK]`**

Your review link, copied from your review profile. The AI must not shorten or rebuild it.

## Example, filled in

**A made-up example** from the free lesson [Build an AI Follow-Up Agent for HVAC Service Calls](https://learn.ynteractive.com/content/hvac-service-follow-up-ai-agent-n8n). Cedar Ridge Heating & Air is the made-up HVAC company in the AI Service Follow-Up Agent lesson, where Grace Chen gets a new heat pump and install follow-ups go by email. The link below is a placeholder.

Copy example

```text
Role: You are Mike at Cedar Ridge Heating & Air, writing a personal thank-you to a customer whose job we just finished.
Context: Customer: Grace Chen. The job: new heat pump installed on Oct 1, including the permit, startup test and haul-away of the old unit. Our review link, copied exactly: https://example.com/cedar-ridge-review. Ask for an honest review, not a 5-star one. Offer nothing in return, and don't say how long it takes.
Task: Write a short email that thanks them for this specific job, asks if they'd share an honest review using the link, and tells them to reply if anything about the work isn't right.
Format: Subject line first, under 8 words. Email under 100 words, plain text, the link on its own line, one ask. Sign with my name and business name.
```

## What a good answer looks like

- A plain subject like "Thanks for choosing us, Grace."
- The real job in one line: the heat pump install on Oct 1.
- The link on its own line, character for character.
- An open door: reply if anything isn't right with the new system.

## How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the [Reply Faster lesson](https://learn.ynteractive.com/content/chatgpt-reply-to-customer-emails): check every promise, name, date and number against what you gave it before anything goes out.

- Copy the link from the draft into a browser before sending. AI tools sometimes "tidy" a link into one that doesn't work.
- Search for "5 stars," "only takes a minute," "enter to win" and "discount." Each one is a claim or an offer you didn't make.
- Check the job details: heat pump, not "AC," and the right date. A wrong detail makes a personal email look automated.
- Make sure the "reply if anything isn't right" line isn't worded as "contact us instead of posting a review." Ask everyone the same way.

## Why this prompt works

The Context bans the risky lines before the AI can write them, which is easier than spotting them later. This is the email version of the follow-ups the agent writes in the [HVAC follow-up agent](https://learn.ynteractive.com/content/hvac-service-follow-up-ai-agent-n8n) lesson; the [review request text prompt](https://learn.ynteractive.com/content/prompts/review-request-text-message-prompt) is the text version.

## Practice it in the free lesson

**[Build an AI Follow-Up Agent for HVAC Service Calls](https://learn.ynteractive.com/content/hvac-service-follow-up-ai-agent-n8n)**: Build an AI agent for Cedar Ridge Heating & Air that writes follow-up messages for completed service calls and saves them to Google Sheets — chat trigger, AI Agent, system prompt, model, memory, and the Sheets tool. You do every step yourself in a practice copy of n8n, and nothing touches your real accounts.
