Use this when you've written a full proposal and need a short version: the cover email, a one-page summary for the decision-maker or the first page of the proposal itself. Summaries are where numbers drift. The AI rounds a price, merges two phases or adds a deliverable that sounds standard. This prompt summarizes only what's in your proposal, keeps every number exact and lists what you need from the client.

## The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every `[BLANK]` with your own details. It uses the four parts from [Prompt Writing 101](https://learn.ynteractive.com/content/prompt-writing-101-role-context-task-format): Role, Context, Task and Format.

Copy prompt

```text
Role: You are the [ROLE] at [COMPANY], summarizing our proposal for [READER].
Context: The full proposal is below. Use only what it says. Keep every price, date, quantity and deliverable exactly as written, and don't add services, guarantees or results that aren't in it.
Task: Write a summary that lets the reader decide whether to move forward without reading the full proposal.
Format: Under 200 words, with these short sections: The problem (as the client described it), What we'll do, Timeline, Investment, What we need from you, Next step: [NEXT STEP]. Then, separately, list every number in your summary with the proposal section it came from.
Here is the full proposal:
[PROPOSAL]
```

## Fill in the blanks

**`[ROLE]`**

Your role, such as account manager or owner.

**`[COMPANY]`**

Your company name.

**`[READER]`**

Who decides, and what they care about most.

**`[NEXT STEP]`**

The one thing you want them to do after reading.

**`[PROPOSAL]`**

The full proposal text. Remove anything confidential the summary doesn't need.

## Example, filled in

**A made-up example** from the free lesson [n8n AI Agent Tutorial: Save Social Media Ideas to Google Sheets](https://learn.ynteractive.com/content/n8n-ai-agent-tutorial-google-sheets). BrightPath Marketing is the made-up agency in the n8n AI agent lesson. It wrote a two-phase proposal for a made-up garden center and needs a one-page summary for the owner.

Copy example

```text
Role: You are the account manager at BrightPath Marketing, summarizing our proposal for Ruth, the owner of Willow Creek Garden Center, who makes the decision.
Context: The full proposal is below. Use only what it says. Keep every price, date, quantity and deliverable exactly as written, and don't add services, guarantees or results that aren't in it.
Task: Write a summary that lets the reader decide whether to move forward without reading the full proposal.
Format: Under 200 words, with these short sections: The problem (as the client described it), What we'll do, Timeline, Investment, What we need from you, Next step: a 20-minute call to answer questions. Then, separately, list every number in your summary with the proposal section it came from.
Here is the full proposal:
1. Goals: more spring visits from people searching for plants nearby. The owner says the website gets few calls and they have never run search ads.
2. Scope: Phase 1 (March): speed up the site, add hours and directions to every page, set up call tracking. Phase 2 (April to June): Google Ads for 3 product groups, with a monthly report.
3. Fees: Phase 1, $2,400 one time. Phase 2, $900 a month for management. Ad spend is paid by the client directly to Google, budget set by the client.
4. Client provides: website login, Google Business Profile access, product photos by February 20.
5. Term: Phase 2 continues month to month after June.
```

## What a good answer looks like

- Prices exactly as written: $2,400 one time and $900 a month, with ad spend called out as separate.
- Both phases kept distinct, with their months.
- "What we need from you" listing the logins and the February 20 photo deadline.
- A number list at the end tying each figure to its section.

## How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the [Reply Faster lesson](https://learn.ynteractive.com/content/chatgpt-reply-to-customer-emails): check every promise, name, date and number against what you gave it before anything goes out.

- Check every number against the proposal using the list it gave you. A summary that says "$900 a month including ads" has quietly changed your deal.
- Look for added deliverables, like "social media posting" or "guaranteed rankings," and delete them.
- Make sure the summary doesn't promise results the proposal doesn't.
- Delete the number list before you send the summary; it's for you, not the client.

## Why this prompt works

The number list is a built-in [self-check](https://learn.ynteractive.com/content/glossary/self-verification): the AI has to point to where each figure came from, which makes a changed or invented number obvious. It's the "check every promise" habit from the [Reply Faster lesson](https://learn.ynteractive.com/content/chatgpt-reply-to-customer-emails) applied to a document where a wrong number becomes an awkward conversation about money.
