# Process improvement ideas prompt: free ChatGPT template

> Describe how a task runs today and where it breaks, and get five specific fixes tied to real steps, with effort, risks and a way to tell if each worked.

Use this when the same task keeps taking too long or going wrong, and "we should automate that" isn't a plan. You describe the process step by step, the tools you already have and your limits. The AI suggests fixes tied to specific steps, rates the effort, names the risk and says how you'd know in a month whether it worked. You still choose.

## The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every `[BLANK]` with your own details. It uses the four parts from [Prompt Writing 101](https://learn.ynteractive.com/content/prompt-writing-101-role-context-task-format): Role, Context, Task and Format.

## Fill in the blanks

Your business name, size and what you do. Size changes which ideas are realistic.

The one process to fix, named the way your team names it.

What happens now, in order, including the steps nobody likes, and where it breaks.

Software and systems you already pay for or use. Ideas that use these are the cheapest to try.

Budget, people, time of year, anything off the table.

## Example, filled in

**A made-up example** from the free lesson [Turn a Client Meeting into Action Items and a Follow-Up Email (Accounting Firms)](https://learn.ynteractive.com/content/chatgpt-client-meeting-recap-accounting-firm). Millbrook Accounting is the made-up firm in the client meeting lesson. In that meeting, Tom mentions chasing subcontractor W-9s "for weeks" last January. Here the firm looks at the whole document-chasing process.

## What a good answer looks like

- Ideas tied to steps, like "Step 2: keep one Google Sheet per client of documents owed, with due dates."
- Small fixes first, such as listing documents owed, with dates, in every review recap email.
- Honest risks: "clients ignore the list" or "the sheet goes stale if nobody owns it."
- A measure you can check in a month, such as how many W-9s are on file by October 31.

## How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the [Reply Faster lesson](https://learn.ynteractive.com/content/chatgpt-reply-to-customer-emails): check every promise, name, date and number against what you gave it before anything goes out.

- Match each idea to the step number it claims to fix. An idea that fixes nothing you described is filler.
- Strike any number you didn't provide, like "saves 10 hours a month." The model can't know that.
- Check every "new tool" idea against your limits. You said no new software this year.
- Ask the person who does the work which idea they'd try. They will spot the one that won't survive January.
