Use this when your prices are going up and you need to tell existing customers in writing: monthly clients, members, service plans. Price notices go wrong two ways. The new price gets buried under paragraphs of "rising costs," or the AI invents a reason ("to serve you better") or a perk you never offered. This prompt puts the numbers up front, supplies your real reason and bans the rest.

## The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every `[BLANK]` with your own details. It uses the four parts from [Prompt Writing 101](https://learn.ynteractive.com/content/prompt-writing-101-role-context-task-format): Role, Context, Task and Format.

Copy prompt

```text
Role: You are the owner of [BUSINESS], writing to customers you value. You're direct about money and don't over-apologize.
Context: These customers are [CUSTOMERS]. The change: [PRICE CHANGE]. My real reason: [REASON]. Use only this reason. Don't call it a bargain, and don't mention discounts, locked-in rates or new features.
Task: Write the notice. Give the old price, new price and start date within the first three sentences. Then the reason in one or two sentences, what stays the same, and how to ask questions: [QUESTIONS CONTACT].
Format: Subject line first, saying it's a price change and when. Under 140 words, plain and warm, no emoji. Sign with my name and business name.
```

## Fill in the blanks

**`[BUSINESS]`**

Your business name and what you do.

**`[CUSTOMERS]`**

Who gets this, such as "small business owners who pay us a monthly fee."

**`[PRICE CHANGE]`**

Old price, new price, start date, and who it applies to.

**`[REASON]`**

Your honest reason in a sentence or two. If you wouldn't say it to a customer's face, rewrite it first.

**`[QUESTIONS CONTACT]`**

How to reach a person: reply, call, or book a time.

## Example, filled in

**A made-up example** from the free lesson [Build a Custom GPT That Writes Overdue Invoice Reminders](https://learn.ynteractive.com/content/custom-gpt-payment-reminder-emails-overdue-invoices). Maple Street Bookkeeping is the made-up bookkeeping firm in the Overdue Invoice Reminders lesson, whose clients pay a monthly fee. In this made-up example the fee goes up in January.

Copy example

```text
Role: You are the owner of Maple Street Bookkeeping, a small bookkeeping firm, writing to customers you value. You're direct about money and don't over-apologize.
Context: These customers are small business owners who pay us a monthly bookkeeping fee. The change: the standard monthly fee goes from $350 to $395, starting with the January 2027 invoice, for every client on the standard plan. My real reason: our software and payroll costs rose this year, and we've held the fee flat for three years. Use only this reason. Don't call it a bargain, and don't mention discounts, locked-in rates or new features.
Task: Write the notice. Give the old price, new price and start date within the first three sentences. Then the reason in one or two sentences, what stays the same, and how to ask questions: reply to this email or book a 15-minute call with me.
Format: Subject line first, saying it's a price change and when. Under 140 words, plain and warm, no emoji. Sign with my name and business name.
```

## What a good answer looks like

- $350, $395 and "January 2027 invoice" in the first three sentences, not the last paragraph.
- One reason, yours, with the three-year detail that makes it feel fair.
- What stays the same in plain terms: the same work, the same people.
- A subject line like "Your monthly fee changes in January" that people will open and remember.

## How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the [Reply Faster lesson](https://learn.ynteractive.com/content/chatgpt-reply-to-customer-emails): check every promise, name, date and number against what you gave it before anything goes out.

- Check every number and date against your Price Change line. Swapped figures are easy to miss when you already know them.
- Delete reasons you didn't give ("inflation," "investing in new tools"). A made-up reason is the line clients quote back to you.
- Delete invented perks: "existing clients keep their rate for 3 months," "a new client portal." Each one is a promise.
- Make sure "what stays the same" really is. If it says "same turnaround," confirm your turnaround isn't changing too.

## Why this prompt works

The Task's three-sentence rule is the heart of it: people forgive an increase more easily than one they had to dig for. Limiting the Context to one reason closes the gap where invented claims hide, the same gap the [Reply Faster](https://learn.ynteractive.com/content/chatgpt-reply-to-customer-emails) check catches.

## Practice it in the free lesson

**[Prompt Writing 101: Role, Context, Task, Format](https://learn.ynteractive.com/content/prompt-writing-101-role-context-task-format)**: Ask ChatGPT for the same customer email twice, once vaguely and once with a four-part prompt, and see exactly why structure gets a better answer. You do every step yourself in a practice copy of ChatGPT, and nothing touches your real accounts.
