Use this when happy reviews are piling up and every reply you write sounds like "Thanks so much, see you soon." It gives you three short options that each mention something the customer actually wrote. It also guards against a subtle problem: you know more about the customer than their review says, and a thank-you that mentions an allergy, a discount or a family name can embarrass them in public.

## The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every `[BLANK]` with your own details. It uses the four parts from [Prompt Writing 101](https://learn.ynteractive.com/content/prompt-writing-101-role-context-task-format): Role, Context, Task and Format.

Copy prompt

```text
Role: You are [YOUR NAME] at [BUSINESS], thanking a customer for a public review.
Context: Mention only details the reviewer wrote. Keep these private even though we know them: [KEEP PRIVATE]. One optional, low-key invite: [INVITE].
Task: Write three different short replies I can choose from. Each thanks them by first name, mentions one specific thing from their review, and may end with the invite. No selling, no discount codes, no asking for anything.
Format: Number them 1 to 3, each under 50 words. Don't start more than one with "Thank you." Sign each with my first name.
Here is the review:
[REVIEW]
```

## Fill in the blanks

**`[YOUR NAME]`**

Your first name, or whoever replies to reviews.

**`[BUSINESS]`**

Your business name.

**`[KEEP PRIVATE]`**

Things from the order or emails that shouldn't appear in public: health details, prices, discounts, names of family members.

**`[INVITE]`**

One gentle line, like "We'd love to bake for the next one," or "none."

**`[REVIEW]`**

Just the review as posted. Don't paste the email thread, so the AI can't borrow private details from it.

## Example, filled in

**A made-up example** from the free lesson [Reply Faster: Turn a Messy Customer Email Thread into a Clear, Friendly Reply](https://learn.ynteractive.com/content/chatgpt-reply-to-customer-emails). Cedar Lane Bakery is the made-up bakery in the Reply Faster lesson, where Jess untangles Dana's birthday cake order. In this made-up sequel, Dana leaves a review.

Copy example

```text
Role: You are Jess at Cedar Lane Bakery, a small neighborhood bakery, thanking a customer for a public review.
Context: Mention only details the reviewer wrote. Keep these private even though we know them: her sister-in-law's nut allergy, the 10% discount and her balance, and her husband's name. One optional, low-key invite: we'd love to bake for the next celebration.
Task: Write three different short replies I can choose from. Each thanks them by first name, mentions one specific thing from their review, and may end with the invite. No selling, no discount codes, no asking for anything.
Format: Number them 1 to 3, each under 50 words. Don't start more than one with "Thank you." Sign each with my first name.
Here is the review:
5 stars. Ordered a lemon cake for my husband's 40th. There was a mix-up with the pickup day but Jess fixed it fast, and the cake was perfect. Everyone asked where it was from. Dana
```

## What a good answer looks like

- Three replies that differ in more than the first word.
- Each picks one real detail: the lemon cake, the 40th, guests asking where it came from.
- The mix-up handled lightly if at all ("glad we got it sorted"), never re-explained.
- No allergy, no discount, no "Mike."

## How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the [Reply Faster lesson](https://learn.ynteractive.com/content/chatgpt-reply-to-customer-emails): check every promise, name, date and number against what you gave it before anything goes out.

- Check every detail against the review. Anything it says that Dana didn't write, even something true, comes out.
- Look for promises dressed as thanks: "we've fixed our order system" or "next time it's on us." You didn't say either.
- Pick the version that sounds most like you, and rotate. Identical replies on every review read as automated.

## Practice it in the free lesson

**[Prompt Writing 101: Role, Context, Task, Format](https://learn.ynteractive.com/content/prompt-writing-101-role-context-task-format)**: Ask ChatGPT for the same customer email twice, once vaguely and once with a four-part prompt, and see exactly why structure gets a better answer. You do every step yourself in a practice copy of ChatGPT, and nothing touches your real accounts.

## Frequently asked questions

**Why ask for three replies instead of one?**

Choosing is faster than editing, and seeing three versions shows you which details the AI keeps reaching for. If all three mention the same thing, that's the detail that matters to the customer.
