Use this the moment you upload a client's Profit and Loss Detail export, before you ask for a summary, a chart or takeaways. Month-end and mid-year reviews go wrong when a total is built on a file nobody checked: a bank-feed entry counted twice, or a row with no account left out of every line. This prompt asks only for a description of the file and a list of problems, so you can decide the fixes yourself.

It does not fix anything or draw conclusions. The accounting calls stay with you, and the real fix happens in your accounting software, not only in the uploaded copy.

**Have a professional review it.** This prompt helps you explain your own numbers, not give financial advice. Have your accountant or financial advisor review anything you will act on.

## The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every `[BLANK]` with your own details. It uses the four parts from [Prompt Writing 101](https://learn.ynteractive.com/content/prompt-writing-101-role-context-task-format): Role, Context, Task and Format.

Copy prompt

```text
Role: You are a careful staff accountant at [FIRM] reviewing a client's books before a [MEETING].
Context: This is the Profit and Loss Detail export for our client [CLIENT], a [CLIENT TYPE], from [DATE RANGE]. I will decide how to handle any problems before we analyze anything.
Task: Before you analyze anything, check the file. Tell me what each column means, how many rows there are and the date range. Then list any problems: transactions that appear more than once with the same date, name, number and amount; rows with a blank account; blank dates or amounts; and dates outside the range. For each problem give the count and the dollar total. Do not give me any insights, totals by month or recommendations yet.
Format: A short table of columns with what each means, one line each for row count and date range, then a numbered list headed Problems found. End with one sentence asking how I want the problems handled.
```

## Fill in the blanks

**`[FIRM]`**

Your firm's name, so the tone fits your practice.

**`[MEETING]`**

What the numbers are for, such as a mid-year review with the owner or a month-end close.

**`[CLIENT]`**

The client's business name. Leave out account numbers, card numbers and tax IDs.

**`[CLIENT TYPE]`**

A few words on the business, such as a 60-seat restaurant or a design studio.

**`[DATE RANGE]`**

The period the export covers, for example January to June 2026.

## Example, filled in

**A made-up example** from the free lesson [Analyze a Client's P&L Export with ChatGPT (Accounting & Bookkeeping Firms)](https://learn.ynteractive.com/content/chatgpt-analyze-client-pl-export-accounting). Millbrook Accounting and its client Copper Pot Kitchen are the made-up firm and restaurant in the Analyze a Client's P&L Export lesson. This shows how the bookkeeper might fill the prompt in before the mid-year review.

Copy example

```text
Role: You are a careful staff accountant at Millbrook Accounting reviewing a client's books before a mid-year review with the owner.
Context: This is the Profit and Loss Detail export for our client Copper Pot Kitchen, a 60-seat restaurant, from January to June 2026. I will decide how to handle any problems before we analyze anything.
Task: Before you analyze anything, check the file. Tell me what each column means, how many rows there are and the date range. Then list any problems: transactions that appear more than once with the same date, name, number and amount; rows with a blank account; blank dates or amounts; and dates outside the range. For each problem give the count and the dollar total. Do not give me any insights, totals by month or recommendations yet.
Format: A short table of columns with what each means, one line each for row count and date range, then a numbered list headed Problems found. End with one sentence asking how I want the problems handled.
```

## What a good answer looks like

- Every column is explained, so you can see the AI read the file the way you meant.
- Each problem has a count and a dollar amount, such as 4 duplicates worth $3,475.00 in the lesson.
- No totals, trends or advice appear before you have decided the fixes.
- It ends by asking you how to handle the problems instead of choosing for you.

## How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the [Reply Faster lesson](https://learn.ynteractive.com/content/chatgpt-reply-to-customer-emails): check every promise, name, date and number against what you gave it before anything goes out.

- Open the file and find two of the flagged duplicates yourself before you accept the list.
- Compare the row count with the count in your accounting software's report.
- Decide each fix yourself, for example remove the second copy and park blank rows in Needs review.
- Make the same fixes in the books, then tie later totals back to your software's P&L.

## Why this prompt works

Asking for insights first invites the AI to add up a broken file and sound confident about it. Splitting the job into check, then fix, then analyze keeps each step small enough to verify, and keeps the accounting judgment with the accountant.

## Practice it in the free lesson

**[Analyze a Client's P&L Export with ChatGPT (Accounting & Bookkeeping Firms)](https://learn.ynteractive.com/content/chatgpt-analyze-client-pl-export-accounting)**: Upload a client's Profit and Loss Detail export to ChatGPT, catch duplicate bank-feed entries and uncategorized rows first, then get a monthly P&L summary, a chart and three takeaways for the client review. You do every step yourself in a practice copy of ChatGPT, and nothing touches your real accounts.

## Frequently asked questions

**Why not ask for the summary straight away?**

Because a summary built on duplicates or blank accounts is wrong in ways that look right. In the lesson, four duplicates would have counted $3,475.00 of costs twice.

**Is it safe to upload client books to ChatGPT?**

Only on a business plan your firm approves, following your firm's AI policy, and after removing bank account numbers, card numbers and tax IDs.
