# Permit and inspection explainer prompt: free ChatGPT template

Use this when a job needs a permit and inspection and the customer has questions: why do I need it, do I have to be home, when is it? Clear answers up front prevent missed inspections. The AI risk is dates and rules: it will guess an inspection date or describe permit rules from somewhere else. This prompt explains your process, gives only the dates you know, and says when you'll confirm the rest.

## The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every `[BLANK]` with your own details. It uses the four parts from [Prompt Writing 101](https://learn.ynteractive.com/content/prompt-writing-101-role-context-task-format): Role, Context, Task and Format.

## Fill in the blanks

Dana paid the deposit on her made-up panel upgrade and asked what the permit means.

## What a good answer looks like

- The cost question answered at once: the permit and inspection are included.
- Install on Tuesday, Oct 13, with the power off most of the day, so she can plan for it.
- An honest "the city sets the inspection date; we'll call you when we have it."
- A three-item list: someone home on install day, panel and meter access, a clear space.

## How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the [Reply Faster lesson](https://learn.ynteractive.com/content/chatgpt-reply-to-customer-emails): check every promise, name, date and number against what you gave it before anything goes out.

- Check every promise and date. "Your inspection will be Oct 15" or "inspections take 20 minutes" were never in your facts.
- Look for borrowed rules, like code sections or "the city requires two inspections." Only your licensed contractor's description belongs here.
- If the inspection fails, rerun this with the new facts.

## Why this prompt works

Splitting known dates from unknown ones, and saying who sets the unknown one, makes this email trustworthy. As with any [quote](https://learn.ynteractive.com/content/glossary/estimate-vs-quote), the permit is part of the price, so the email should never make it sound like an extra.
