# Missed appointment follow-up prompt: free ChatGPT template

Use this when a customer doesn't show up, or your tech knocks and nobody answers. Most no-shows are forgetful, not rude, and the goal is to get them back on the calendar without a lecture. The trouble spots are the fee and the tone. An AI will either skip your policy to be nice or quote it like a collections notice, and it may invent open times. This prompt gives it your real policy, your real openings and one clear rule: assume it was an honest mix-up.

## The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every `[BLANK]` with your own details. It uses the four parts from [Prompt Writing 101](https://learn.ynteractive.com/content/prompt-writing-101-role-context-task-format): Role, Context, Task and Format.

## Fill in the blanks

**`[SENDER]`**

Your first name and role.

**`[BUSINESS]`**

Your business name and what you do.

**`[WHAT HAPPENED]`**

The appointment time, what you did (called, knocked, waited 15 minutes) and whether this is their first miss.

**`[POLICY]`**

Your written no-show or late-cancel policy, word for word, including when you waive it. No policy? Write "no fee."

**`[OPEN TIMES]`**

Two or three real openings, with the weekday and date, from your calendar.

**`[CHANNEL]`**

Text or email, whichever the customer used to book.

In this made-up follow-up, a customer and her dog didn't make it in.

## What a good answer looks like

- Opens with "We missed you and Biscuit today," not "You failed to attend."
- Both open times with weekday and date, and nothing else offered.
- The policy handled correctly for a first miss: no fee today, one plain line about the $25 next time, or nothing at all.
- A low-pressure close like "Or just reply later when you're ready."

## How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the [Reply Faster lesson](https://learn.ynteractive.com/content/chatgpt-reply-to-customer-emails): check every promise, name, date and number against what you gave it before anything goes out.

- Check every promise and every time against your calendar. A third slot you didn't list is a double booking waiting to happen.
- Read the fee line twice. For a first miss, any wording that sounds like Nora owes $25 today is wrong.
- Cut anything that guesses why she didn't come ("we know life gets busy with kids"). You don't know that.
- If she's missed before, rerun it with that fact so the policy line changes, rather than editing the tone by hand.

## Why this prompt works

"Assume it was an honest mix-up" sets the tone better than a list of adjectives, and putting the policy in quotes stops the AI from paraphrasing a $25 fee into something harsher or softer. ## Frequently asked questions

**Should I send a no-show message by text or email?**

Use whatever the customer booked with. Texts get read faster, so they work better for same-day rebooking, but only text people who agreed to hear from you that way.
