# Maintenance agreement renewal prompt: free ChatGPT template

Use this when a customer's maintenance plan or service agreement is coming up for renewal. The most convincing renewal email is a short recap of what the member actually got this year, followed by the price and terms, stated plainly. AI renewal emails reach for claims like "prevents costly breakdowns" or "extends equipment life by years," and sometimes blur whether the plan renews automatically. This prompt uses the member's real history and makes changing or canceling as clear as renewing.

## The prompt

## What a good answer looks like

- A "This year" list with three dated items, including the $23.50 she saved.
- "$189, renews November 1 on the card on file" on its own line.
- Cancel instructions in the same plain words as renewal, with no guilt.
- No claims about preventing breakdowns or lowering bills.

## How to check it before you use it

- Match the visit dates and savings to your service records for this member.
- Compare the automatic renewal wording with the agreement she signed. If your plan auto-renews, check what notice rules apply where you operate.
- Delete any benefit that isn't in the plan terms, even a small one.
- If you send these in a batch, read a few against their records, not just the first one.
