Use this when someone filled in your form, got your reply and then said nothing. Silence usually means busy, not no. This prompt plans three short messages spaced over a couple of weeks, each adding something useful instead of "just checking in", and ends with a polite last note that makes "not now" easy to say. It uses only what the lead told you.

## The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every `[BLANK]` with your own details. It uses the four parts from [Prompt Writing 101](https://learn.ynteractive.com/content/prompt-writing-101-role-context-task-format): Role, Context, Task and Format.

Copy prompt

```text
Role: You are writing follow-ups for [BUSINESS] to a lead who reached out and then went quiet.
Context: What they told us: [LEAD DETAILS]. What we already sent and when: [WHAT WE SENT]. Useful things we can share: [HELPFUL ITEMS]. The one next step we want: [NEXT STEP]. Don't invent discounts, deadlines or results, and don't guilt them for not replying.
Task: Write three emails. The first is a short nudge that adds one useful thing. The second takes a different angle tied to what they told us. The third is a polite last note that says we'll stop following up and how to reach us later. Suggest the day to send each.
Format: For each: the day, a subject line and a body under 80 words ending in the same next step. Plain text, like a person wrote it. No "just checking in" or "bumping this up".
```

## Fill in the blanks

**`[BUSINESS]`**

Your business name and what you sell.

**`[LEAD DETAILS]`**

Who they are and what they said on the form, in their words if you have them.

**`[WHAT WE SENT]`**

Your earlier reply and when it went out.

**`[HELPFUL ITEMS]`**

Two or three real things you can share: a guide, a short video, an answer to a common question.

**`[NEXT STEP]`**

The single action you want, like booking a demo.

## Example, filled in

**A made-up example** from the free lesson [Build an AI Demo Request Form That Qualifies Leads](https://learn.ynteractive.com/content/ai-demo-request-form-lead-qualification). Northwind Scheduling Software is the made-up company in the demo request form lesson. A lead the agent rated Warm got an email with a link to book a demo eight days ago and hasn't booked.

Copy example

```text
Role: You are writing follow-ups for Northwind Scheduling Software, which sells scheduling software to small service businesses, to a lead who reached out and then went quiet.
Context: What they told us: Ana Ruiz, office manager at Bright Nest Cleaning, team of 4; her form said "we double-book cleaners and our calendar is a mess", with no timeline. What we already sent and when: the automatic reply from our demo form 8 days ago, with a link to book a demo; no reply and no booking. Useful things we can share: a one-page guide to setting up recurring cleaning visits, and a 2-minute video showing how the calendar flags double bookings. The one next step we want: book a 20-minute demo. Don't invent discounts, deadlines or results, and don't guilt them for not replying.
Task: Write three emails. The first is a short nudge that adds one useful thing. The second takes a different angle tied to what they told us. The third is a polite last note that says we'll stop following up and how to reach us later. Suggest the day to send each.
Format: For each: the day, a subject line and a body under 80 words ending in the same next step. Plain text, like a person wrote it. No "just checking in" or "bumping this up".
```

## What a good answer looks like

- Email one around day 3 shares the double-booking video, because that's the exact problem Ana named.
- Email two switches to the recurring visits guide, still tied to a team of 4.
- Email three says plainly it's the last note and how to come back when timing is better.
- No made-up urgency: no "spots are filling up", no discount.

## How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the [Reply Faster lesson](https://learn.ynteractive.com/content/chatgpt-reply-to-customer-emails): check every promise, name, date and number against what you gave it before anything goes out.

- Read each line against the lead details. If her problem was double-booking, nothing should mention payroll or invoices.
- Stop the sequence the moment they reply or book. If it's automated, make sure a reply removes them.
- Follow your email platform's rules for consent and unsubscribe lines.
- Send from the same person who sent the first reply, if there was one.

## Why this prompt works

A [follow-up email](https://learn.ynteractive.com/content/glossary/follow-up-email) earns a reply when it adds something new. A short list of real helpful items stops the model padding each touch with "circling back".
