Use this when someone signs up for a free guide, checklist or sample and you want the first email to deliver it and feel personal. The usual AI result is a long "Welcome to the family" email with three offers, a discount you never approved and the link buried at the bottom. This prompt puts what they asked for in the first lines, adds one tip that fits what they told you on the form, and asks for nothing more.

## The prompt

Copy it into ChatGPT (or Claude, Gemini or Copilot) and replace every `[BLANK]` with your own details. It uses the four parts from [Prompt Writing 101](https://learn.ynteractive.com/content/prompt-writing-101-role-context-task-format): Role, Context, Task and Format.

Copy prompt

```text
Role: You are the welcome email writer for [BUSINESS].
Context: [NAME] just signed up for our free [LEAD MAGNET]. On the form they told us: [FORM ANSWERS]. Don't offer discounts, make health or results claims, or promise future emails we haven't planned.
Task: Write a short, warm welcome email that delivers the guide in the first two sentences, with the placeholder LINK HERE where the download link goes. Add one practical tip that fits their answers, taken only from [TIP SOURCE].
Format: Subject line first, under 8 words. Under 120 words. No emoji, no sales pitch, one link only. Sign it from the team.
```

## Fill in the blanks

**`[BUSINESS]`**

Your business name and what you sell.

**`[NAME]`**

The subscriber's first name, from the form.

**`[LEAD MAGNET]`**

What they signed up for, by its real title.

**`[FORM ANSWERS]`**

Whatever else your signup form asks, copied as they wrote it. This is what makes the email personal.

**`[TIP SOURCE]`**

The tips you stand behind, usually pasted from the guide itself. Without this, the AI writes plausible advice that may contradict your own guide.

## Example, filled in

**A made-up example** from the free lesson [Build a Lead Magnet Signup Form with an AI Welcome Email](https://learn.ynteractive.com/content/lead-magnet-signup-form-ai-welcome-email). Harbor & Pine Coffee Roasters is the made-up coffee brand in the lead magnet signup form lesson. Its free guide is The Better Cup at Home, and a new subscriber says their French press coffee tastes bitter.

Copy example

```text
Role: You are the welcome email writer for Harbor & Pine Coffee Roasters, a small online coffee brand that roasts in small batches.
Context: Alex just signed up for our free brewing guide, The Better Cup at Home. On the form they told us: What do you want to improve? "My coffee tastes bitter." How do you brew now? "French press." Don't offer discounts, make health or results claims, or promise future emails we haven't planned.
Task: Write a short, warm welcome email that delivers the guide in the first two sentences, with the placeholder LINK HERE where the download link goes. Add one practical tip that fits their answers, taken only from these tips in the guide: for French press, use a coarse grind and pour all the coffee off the grounds when it's done steeping so it doesn't keep extracting; for pour-over, pour slowly in small circles; for espresso, weigh your dose.
Format: Subject line first, under 8 words. Under 120 words. No emoji, no sales pitch, one link only. Sign it from the team.
```

## What a good answer looks like

- LINK HERE in the first two sentences, not after a paragraph about your story.
- One tip that answers what they said: here, the coarse grind and pouring off for bitter French press coffee.
- No discount, no "use code WELCOME10," no product pitch.
- Short enough to read on a phone in a few seconds.

## How to check it before you use it

An AI draft can sound right and still say something you never told it. Use the habit from the [Reply Faster lesson](https://learn.ynteractive.com/content/chatgpt-reply-to-customer-emails): check every promise, name, date and number against what you gave it before anything goes out.

- Check every promise: the tip must come from the source you gave. If it adds advice your guide doesn't give, swap it for one that does.
- Make sure LINK HERE appears once, and replace it with the real link before anything is sent.
- Cut promises about future emails ("every week you'll get...") unless you really send them.
- If you automate this, test it with a few different form answers to confirm the tip changes to fit each one.

## Why this prompt works

The form answers make the email personal, and the tip source keeps that personal touch accurate. A [lead magnet](https://learn.ynteractive.com/content/glossary/lead-magnet) only earns trust if the first email delivers exactly what was promised, quickly and without a catch.

## Frequently asked questions

**Can this email send itself when someone fills in my form?**

Yes. The [lead magnet signup form lesson](https://learn.ynteractive.com/content/lead-magnet-signup-form-ai-welcome-email) connects a Lovable form to an n8n agent whose system message works much like this prompt: it tags the lead, saves it to Google Sheets and emails the guide through Gmail.
